The College of Healthcare Information Management Executives (CHIME) is the professional organization for Chief Information Officers and other senior healthcare IT leaders. Job Purpose
The Events Specialist will be responsible for the planning, development and execution of numerous Association meeting and events including conferences, workshops, and tradeshows. National travel is required. Candidate must be able to multi-task, managing and planning multiple events, while always providing top-level customer service.
Event management duties will include sourcing, including RFP development, site selection input, event project planning, registration, housing, communications (internal and external), F&B management, budget collaboration, and space planning.
Duties and Responsibilities
  • RFPs \xe2\x80\x93 Creation and review, including site research and outreach
  • Program registration utilizing Swoogo or other registration system
  • Housing and/or management of housing includes rooming lists, understanding of the contract terms, deadlines, and other details
  • Food and Beverage and/or management of F&B staff, onsite and offsite events
  • Work with production teams to effectively source and order A/V needs
  • Liaise with hotel on room sets, capacity, set up, etc.
  • Onsite meeting management to include student and attendee interaction, speaker interaction and assistance, as well as supplier team management
  • Ground transportation
  • Budgeting and reconciliation
  • Communication to attendees and stakeholders
  • Project management, utilizing project management software
  • Collaborate with in-house marketing team for website creation and assist with details needed for program promotions
  • Virtual & Hybrid platforms
  • Other duties as assigned

Qualifications
  • Proven experience as an event manager with audiences ranging from 20\xe2\x80\x935,000+
  • Skilled in project management
  • Computer savvy; proficient in MS Office, Excel, PowerPoint
  • Outstanding communication skills
  • An accessible, responsive style with a customer service orientation and philosophy
  • Excellent organizational skills
  • Proven multi-tasking skills
  • A team player
  • Ability to be productive outside of an office environment
  • Bachelor\xe2\x80\x99s degree required
  • 3+ years\xe2\x80\x99 experience or background in a professional association and/or healthcare industry preferred
  • Discipline to successfully work without close supervision - Must be comfortable with a remote working relationship with other team members
  • Ability to remain calm under pressure and maintain a positive attitude

Working Conditions Position will have national travel for events. They will have overnight stays and some weekend work.
