About the Role


We are hiring an experienced Event Manager to support the planning and on-site execution of a large-scale public food festival in the Baltimore metro area.

This role is remote during planning and on-site during event week, with site visits and occasional in-person meetings required. Candidates must be based in (or very near) Baltimore, MD.

Key Responsibilities


Sponsorship & Vendor Management


- Identify, research, and outreach to sponsors and vendors; conduct outbound calls and support negotiations.
- Maintain the sponsor/vendor database and manage follow-ups, onboarding paperwork, and invoice/document collection.
- Serve as the main point of contact and ensure sponsor deliverables and vendor commitments are fulfilled.
- Coordinate with marketing to ensure agreed branding/visibility is delivered.
- Provide simple weekly updates and post-event recap notes (wins, issues, improvements).

Event Operations (Pre-Planning + On-Site)


- Coordinate key suppliers (deliveries, pickups, service windows) and collect required documents (COIs, access forms).
- Schedule and brief on-site staff for setup, show days, and teardown; maintain contact lists and escalation paths.
- Lead on-site operations during setup, event days, and teardown, including vendor/sponsor check-in and load-in/load-out flow.
- Troubleshoot issues in real time and escalate as needed.

Required Qualifications


- 2+ years of experience in event operations and/or sponsorship/vendor management (festivals, markets, concerts, venue ops, activations).
- Based in the Baltimore metro area with reliable transportation for site visits and event week.
- Comfortable with outbound outreach and relationship management (phone/email/text).
- Strong organization, follow-through, and ability to work weekends/extended hours during event week.

- Proficiency with Google Workspace (Docs/Sheets), CRMs, and basic tracking tools.



Preferred Qualifications



Experience supporting large-scale public events (multi-day, high-attendance) Experience coordinating suppliers (restrooms, power, barricades/fencing, cleaning, security, AV, etc.) Experience managing sponsor fulfillment, branded activations, or vendor deliverables Experience supervising coordinators or managing contractors/volunteers Strong on-site leadership and calm decision-making under pressure

Physical / Working Conditions


- Extensive walking/standing; outdoor work in varied weather.
- Ability to lift/carry up to 50 lbs (or reasonable accommodation).

Job Types: Full-time, Contract

Pay: $50,000.00 - $75,000.00 per year
