Events & Administrative Coordinator

to support company operations while leading the planning and execution of client events, conferences, property showcases, and internal meetings.

In this role, you'll blend administrative expertise with hands-on project management to ensure seamless operations and high-impact, well-executed events. If you thrive in a fast-paced environment, manage details with precision, and enjoy bringing complex event plans to life, we want to meet you.

Key ResponsibilitiesEvent Planning & Coordination



Plan, organize, and project manage live, in-person events including real estate conferences, client appreciation events, open houses, and corporate meetings. Collaborate with leadership, agents, and external partners to align event objectives and deliver exceptional experiences. Oversee all logistics: venue booking, catering, decor, A/V, staffing, transportation, floor plans, and attendee flow. Create detailed timelines, production schedules, and run-of-show documents to support smooth execution. Lead onsite event operations, resolve issues quickly, and ensure safety and compliance are always upheld.

Vendor & Budget Management



Source, negotiate, and maintain relationships with vendors including venues, caterers, production teams, decor specialists, and service providers. Track expenses, manage budgets, and ensure cost-effective solutions that support event goals.

Marketing & Communication



Coordinate with the marketing team to promote events through email campaigns, social media, and internal communications. Prepare event materials such as signage, presentations, brochures, and conference packets. Provide clear communication to attendees, internal teams, and vendors throughout planning and execution.

Administrative Support



Provide comprehensive administrative support including scheduling, document preparation, communication management, and data tracking. Maintain organized event records: contracts, permits, insurance documents, vendor lists, invoices, and post-event evaluations. Support executives and real estate agents with administrative tasks as needed.

Qualifications



Proven experience in live, in-person event planning, project management, or conference coordination. Strong organizational skills and the ability to manage multiple projects simultaneously under tight deadlines. Excellent verbal and written communication skills for interacting with clients, agents, vendors, and leadership. Experience negotiating contracts and managing vendor relationships. Understanding of event marketing strategies and promotional channels. Proficiency with event planning tools, project management software, and Google Workspace or Microsoft Office. Customer-service driven, with a professional and solutions-oriented approach. Administrative or executive support experience in real estate or hospitality is a plus.

Pay: $20.45 - $22.03 per hour
