Job Description

Maze Rally is looking for a detail-oriented and proactive Event Coordinator to support the planning and execution of high-quality events that showcase our brand and engage our audiences.

In this role, you'll work closely with the Events Operations Manager and cross-functional teams to coordinate logistics, manage timelines, liaise with vendors, and ensure every detail comes together seamlessly. From pre-event planning to on-site coordination, you'll play a key role in ensuring each experience reflects Maze Rally's commitment to precision, creativity, and excellence.

Key ResponsibilitiesEvent Planning & Coordination



Support the planning and execution of multiple events, including conferences, client activations, and internal functions. Coordinate logistics such as venues, catering, AV, decor, transportation, and registration. Assist with creating event timelines, budgets, and production schedules to ensure deadlines are met. Collaborate with marketing and sales teams to align event messaging and deliverables.

Vendor & Partner Management



Research, source, and communicate with vendors and service providers. Manage vendor relationships to ensure quality, cost control, and adherence to Maze Rally standards. Track contracts, payments, and post-event evaluations.

On-Site Coordination



Support event setup, execution, and breakdown. Serve as an on-site contact for staff, vendors, and guests. Ensure all compliance, safety, and quality standards are maintained during live events.

Budgeting & Reporting



Monitor expenses and assist with budget tracking and reconciliation. Contribute to post-event reports summarizing outcomes, insights, and recommendations for improvement.

Team Collaboration



Work closely with the Events Operations Manager and other internal teams to deliver successful outcomes. Provide administrative and logistical support across the events department. Contribute to process improvements and best practices in event coordination.

About You



You're a master multitasker who loves bringing plans to life. You have a sharp eye for detail, excellent communication skills, and a knack for staying organized -- even when juggling multiple projects. You take initiative, thrive on teamwork, and genuinely enjoy the fast-paced world of event production.

Essential Skills & Experience



2-4 years of experience in event coordination, hospitality, or related field. Demonstrated experience supporting medium- to large-scale events. Strong organizational and time management skills. Excellent communication and interpersonal abilities. Proficiency with event management tools (e.g., Cvent, Asana, Monday.com) and Microsoft Office Suite. Ability to work flexible hours during event periods. Bachelor's degree in Event Management, Hospitality, Communications, or a related field preferred.

Pay: $50,000.00 - $56,000.00 per year
