Position Summary
The
Event Coordinator
is responsible for planning, organizing, and executing all Calera Main Street events -- from intimate community gatherings to large festivals drawing thousands of visitors. This includes managing logistics, budgets, vendors, volunteers, and marketing for more than 20 events each year, including the
First Friday Festival Series
(April-August) and the professional
Calera Stampede Pro PCA Rodeo
.
This position requires creativity, attention to detail, and the ability to collaborate closely with city departments, public safety personnel, and local businesses to ensure successful, safe, and high-quality events.
Key Responsibilities
Plan, coordinate, and execute all Calera Main Street events from concept to completion.
Manage logistics such as permits, vendors, stage layouts, power access, and safety plans.
Work closely with City of Calera departments, police, fire, and public works to ensure seamless coordination.
Develop event timelines, budgets, and vendor contracts; track expenses and sponsorships.
Recruit, train, and manage volunteers and community partners.
Assist with event marketing and promotions, including social media and press coordination.
Support post-event evaluations and maintain records of attendance, vendor participation, and impact.
Contribute ideas for new programming that supports Main Street's mission and downtown economic vitality.
Qualifications
Experience in
event planning, project management, community engagement, or related field
(2+ years preferred).
Strong organizational and communication skills with ability to manage multiple projects simultaneously.
Comfortable working evenings and weekends as required for events.
Ability to work effectively with city staff, local businesses, vendors, and volunteers.
Proficiency in Microsoft Office and event management tools; social media experience a plus.
Self-motivated, detail-oriented, and passionate about community development.
Compensation
Competitive salary commensurate with experience.
