Job Description

The Registrar's Office at Philander Smith University has a current opening for an Enrollment Specialist. Reporting to the Registrar, the Enrollment Specialist performs tasks supporting the Registrar's Office, including data entry, student records maintenance, responding to phone, in-person, and via email inquiries, and assisting with registration and graduation activities.

Responsibilities



Apply federal, state, local, and institutional laws, regulations, and policies, including application of FERPA compliance (Family Educational Rights and Privacy Act), when performing all functions. Stay informed of current state and federal regulations regarding student records. Positively and professionally represent the university and the Registrar's Office and collaborate with academic and student services offices to contribute to student retention. Assist with preparing, organizing, and maintaining student records, including retaining permanent records, verifying information, and ensuring student privacy. Identify, troubleshoot, and resolve issues with student records as needed. Assist with tasks related to the start and end of the semester, including the tracking of final grades from faculty and students through various reports and other tasks. Assist with graduation-related functions, including monitoring and assisting with student graduation issues and helping plan and coordinate the Commencement ceremony. Evaluate college transcripts as needed. Assist students, staff, and/or faculty in problem-solving issues (e.g., registration issues, override requests, overload requests, and withdrawal issues) in a manner sensitive to the challenges at hand while complying with institutional policies and procedures. Respond to inquiries from students, parents, faculty, and staff on matters of university policies and procedures relating to registration, add/drop, course scheduling, grades, course reinstatements, withdrawals, transcripts, program changes, course substitutions, prerequisite waivers, credit for prior learning, graduation, GPA's, and other relevant information. Duties for this position will involve working long hours during peak times and may include attendance at evening and weekend events.
