Job Description

The Director of Administration and Finance will oversee Administrative Affairs, Human Resources, Financial Management, Facilities, Project Management Systems, and Record Keeping. They will supervise administrative, financial, and facility staff, while also serving as a member of the University's executive cabinet and help to promote cross-functional teams. The position reports directly to the president & CEO.

The Director of Administration & Finance will join an institution that operates locally and internationally, and work experience in the central Appalachian region of the United States or in International Development contexts will be extremely helpful. This job will require regional travel as well as a flexible work schedule that may at times require attending meetings outside of normal business hours to accommodate deadlines, and coordination with student, faculty, alumni, or project partner schedules.

Administration Duties:



Working with president and director of grants & operations, oversee the issuance of new employment agreements Manage annual performance evaluations Maintain personnel and HR records Handle staff grievances Provide internal training as well as enforcement of the Family Educational Rights Privacy Act (FERPA) Conduct annual review of HR policies, performance review system, and update Policy & Procedures manual, while providing staff training on current updates Working with registrar, handle student grievances Working with registrar, maintain student records Administer University-wide record keeping systems such as Google Drive, Customer Relations Management (CRM), and project management (Monday.com) Maintain institutional archives Manage administrative functions and personnel Oversee facility management Working with director of grants & operations and administrative coordinator, create a maintenance and upkeep schedule Working with director of grants & operations and administrative coordinator, support new income generating activities such as property rentals

Finance Duties:



Supervise the Finance Office, including training and mentoring finance staff and team members on reporting requirements Maintain current Department of Education and other federal training, including for example OSHA and Title IV Design and implement an improved quarterly reconciliation process for all senior Division staff Develop and oversee the annual budget Conduct financial analysis, audits, and performance metric evaluations Develop and implement financial policies and procedures Ensure compliance with financial regulations and university policies Provide strategic guidance on financial planning and resource allocation

Preferred Qualifications:



Bachelor's degree (master's preferred) in a related field 7-10 years of experience in financial, HR, and administrative management Strong skills in budgeting, financial analysis, and reporting Significant leadership and communication abilities A strong command of relevant financial software Experience in a non-profit or academic environment Knowledge of HR policies, compliance, recruitment, performance management, and employee relations Must be energetic, positive, well-organized, and capable of functioning effectively in an independent environment and on a team Reliable/dependable hard worker with a "can do" attitude that is eager to learn Experience with Microsoft Office (Word, Excel) and Google Suite Experience with Sage / Peachtree /QuickBooks or other accounting software package Demonstrated ability to manage multiple projects simultaneously Valid driver's license required

Location and hours:



This position is full-time with the ability to be partially remote. The successful candidate will be required to work regular hours Monday through Friday, with a minimum of 10 in-office days per month, at our mountain headquarters' office (Franklin, WV) from 9:00 am to 5:00 pm with an occasional need to work irregular hours and/or weekends.

Physical Demands:



This position requires travel, the ability to drive a car (with a valid license), is physically demanding requiring the ability to walk unaided up and down hills and over uneven terrain; bend, stoop, reach above head; fine and gross motor skills, and work in close quarters. The employee must have normal visual acuity at near and far distance with correction and hear spoken word with correction. Must be able to read, write and speak fluent English. While performing the duties of this position, employee is required to sit and work at a computer and stand for extended periods of time. The employee is frequently required to use hands to finger, handle, touch objects, tools or controls. The employee must be able to lift or move heavy objects (up to fifty pounds).
