Here's What We Do:
What we produce is offset and digital commercial printing. All printing, prepress, and bindery/finishing are in-house in our 8,000 square foot building in Panorama City. We also have complete mailing services, including addressing, inserting, and package fulfillment. We are not a retail or walk-in shop (we don't even own a cash register!). We service medium to large commercial clients like non-profit organizations, manufacturing companies, credit unions, research companies and large real estate firms. We also offer trade printing to several local print shops and print brokers.

Here's What You Will Be Asked to Do:
The Direct Mail Production Coordinator is responsible for coordinating all aspects of direct mail campaigns from pre-press through final mailing. This role serves as a liaison between clients, internal departments, and vendors to ensure jobs are completed on time, within budget, and to specification. In addition, as an estimator, you'll be asked to maintain that high level of service and quality. Quote requests and orders are received via phone, email or our website. You'll listen to what the customer wants and find the best solution for them. You'll need good knowledge of printing processes and be able to quote and manage the projects through to completion. You'll need to have experience with print estimating programs, and it would be really great if you have experience with PrintSmith print management software.
Key Responsibilities:
Coordinate all phases of direct mail production, including printing, data processing, personalization, inserting, and mailing.
Review and manage production schedules to meet client deadlines.
Work closely with internal teams (sales, data, pre-press, fulfillment) and external vendors.
Monitor job progress, perform quality checks, and troubleshoot production issues.
Ensure compliance with USPS regulations and mail standards.
Maintain accurate job documentation and update job tracking systems.
Order materials (paper, envelopes, etc.) and manage inventory as needed.
Communicate proactively with clients and internal teams regarding job status.
Assist with quoting and estimating production timelines and costs.
You'll be managing some of our most important clients. These top 25 customers have been handled by one of our overworked Owners, and she needs to be spending more time on other management tasks. You'll have the experience to manage these accounts.
You'll use your past experience in the graphics arts field to quote, write and manage jobs through the system quickly and efficiently.
You'll listen to your customers, and help them with ideas and options to make sure their projects are done right, on-time and on-budget.
Your organizational skills will allow you to juggle multiple projects at a time.
Your eye for detail will make sure that we catch all those little important things that they miss. Things that cause delays, cost increases and embarrassment.
Your ability to play nice with others will help us all have great working relationship. In a manufacturing environment like printing it takes people working together to get things done.
If you have experience with PrintSmith print management software, you get a gold star.
If you have experience with direct mail production, you get another gold star.
Qualifications:
2+ years of experience in print production, direct mail, or a related field.
Strong understanding of USPS mailing standards, postal regulations, and mail logistics.
Excellent organizational and time management skills.
High attention to detail with a focus on accuracy.
Strong communication skills (written and verbal).
Ability to manage multiple projects and deadlines simultaneously.
Proficient in Microsoft Office (Excel, Outlook, Word); experience with print/MIS systems is a plus.
Knowledge of variable data printing (VDP) and data processing is a plus.
