GENERAL DESCRIPTION:



Kristi House is seeking a critical thinker and confident professional with an abundance mindset to work as part of their dynamic fundraising team. This is a full-time position responsible for streamlining, managing, and optimizing organizational development processes to increase funding revenue. Serving as a vital member of the Development team, the Development Operations Specialist will provide centralized support services for all Development activities. Primary duties include database management, gift processing and reporting, data hygiene, timely gifts acknowledgement, and finance support to the Development Department.

The position directly reports to the Director of Development with dotted line reporting to the Chief Strategy Officer.

Development Operations:

Maintain the overall quality, hygiene, and integrity of the Bloomerang database including data entry, data cleanup, financial reports, and other system requirements. Oversee the daily internal operations and manage all donation processing, deposits, acknowledging, and reporting. Serve as the point person for list management and execution for mailings (direct mail and e-communications), including mail merge functions, segmentation, and personalization of lists. Support the development team with tasks relating to event planning, including management of events email account, tracking of incoming donations and RSVPs, post-event follow-up and donor outreach for payment schedules and collections. Actively seek ways to utilize databases to meet fundraising efforts effectively and efficiently. Assist CEO & CSO with proper submission of timesheets and other materials for grant submissions and reporting.
Fundraising & Stewardship Tasks:

Assist Director of Development with stewardship of donors, including handwritten thank you cards, tax letters, monthly giving gifts, etc. Assist Gala team with tracking Silent Auction efforts. Draft written materials for Development Department, including regularly updating acknowledgement letters and ongoing stewardship communications. Update team documents such as timelines, revenue trackers, marketing deliverables, stewardship calendars, and project pipelines, etc. Participate in professional development activities to enhance knowledge and skills, including reading fundraising periodicals, journals, and e-newsletters, attending professional development conferences, and other related activities.
Finance Support:

Assist the Finance Department with monthly credit card charges, ensuring charges allocated to correct grant sources and purposes with necessary documentation. Assist the Finance Department with grants management functions related to monthly reimbursement grants. Submit invoices, POs, check requests, etc., for the team. Track all event expenses Oversee PCI compliance and ensure continual updates to remain secure.
Other administrative duties:

Open and distribute mail to Kristi House staff. Assist leadership team with in-office meetings and tours, including ordering meals, preparing information packets, and setting up meeting rooms. Manage the Community Relations & Development Department supply inventory and ordering process, and assist the Education & Outreach Department with supply orders as needed. Assist CEO with Multidisciplinary Team and Board of Directors management, including sending calendar invites, assembling meeting packets, taking meeting minutes, grant reporting, and other requests as needed. Some local travel required, primarily to special events and meetings with outside committees. Manage special projects for Community Relations & Development and Finance Departments as needed. Assist Therapy Department with gift ordering as needed.
Qualifications

2+ years administrative experience in a finance or sales/fundraising capacity. High school degree, some college preferred. Comfortable working with numbers; accounting experience or understanding highly desirable. Excellent attention to detail. Proficiency in database management, Microsoft Office and Constant Contact. Knowledge of WordPress, graphic design, and social media a plus. Ability to manage diverse workload, adjust to changing priorities and opportunities. Experience providing administrative support to multiple staff members and working in a culturally diverse environment. Bilingual is a plus!
Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year
