Duties
Assist the Register of Deeds in overseeing daily office operations, including managing incoming calls and visitor inquiries with professionalism and courtesy.
Handle multi-line phone systems efficiently, providing clear information and directing calls appropriately.
Support data entry efforts by accurately inputting property records, legal documents, and other vital information into a specialized record management software.
Manage filing systems--both digital and physical--ensuring all documents are organized, accessible, and properly stored according to legal standards.
Perform clerical tasks such as proofreading documents for accuracy, preparing reports, and maintaining detailed logs of transactions.
Provide exceptional customer support at the front desk by assisting visitors with inquiries related to property records or legal documentation.
Support office management activities including supply inventory checks, maintaining office equipment, and ensuring a professional environment.
Assist with bookkeeping tasks like reconciling accounts and managing petty cash.
Maintain confidentiality of sensitive information while adhering to all applicable laws and regulations governing public records.
Skills
Proven experience in office setting with strong clerical skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), data entry, and recordkeeping software.
Strong organizational skills with keen attention to detail; capable of managing multiple priorities efficiently.
Exceptional customer service skills with professional phone etiquette.
Ability to type quickly and accurately while proofreading documents for errors before submission.
Knowledge of office equipment operation including filing systems, photocopiers, scanners, and fax machines.
Strong time management skills to meet deadlines consistently without supervision.
