The Portage County Circuit Court has a full-time Deputy Register in Probate position open!

What are the primary job duties?

  • Assist the Register in Probate in the electronic filing and maintenance of case files, which include Juvenile Ordinances, Truancy Court, Children in Need of Protection and Services (CHIPS), Delinquencies, Adoptions, Juvenile in Need of Protection and Services (JIPS), Guardianships (Adult per Ch. 54 & 55) and Minor Guardianships (Ch. 48 & 54), Termination of Parental Rights (TPR), Probate and Chapter 51 Commitments.
  • Answer the telephone and provides front desk reception in assisting the public with questions and filings.
  • Assist and prepare forms and orders for court as directed by the Register in Probate/Judges.
  • Clerk hearings in court as directed by the Register in Probate.
  • Collect and receipt all monies (attorney and filing fees) as required by Statute.
  • Maintain confidential electronic court records and a working knowledge of all applicable State Statutes.
  • Communicate with counsel and other county departments for case management, scheduling or procedural requirements as directed by the Judges and Register in Probate.
  • Verify that all files, pleadings, motions or other documents are available and in proper order for the Court.
  • Assist as liaison between the Court, schools, law enforcement officers, service providers, parents, students and other parties during the school year for Truancy Court.
  • Perform Notary duties for Register in Probate office.
  • Manage all Chapter 51 case management duties under the direction of the Register in Probate and Chief Deputy Register in Probate.
  • Complete required reports as needed with Department of Natural Resources, Motor Vehicle Department, Department of Justice, school districts, schools and State Voting Registry.
  • Prepare and submit invoices for payment from court-appointed attorneys, Guardian Ad Litems, publications, etc. to Munis; prepare orders for reimbursement, enter assessments in CCAP and follows through with office collection procedures.
What is the minimum education and experience needed?
  • Two-years of accredited vocational, college, or technical school in Legal, Business, Public Administration or related field required. Equivalent of experience in a Court environment will be considered. High school diploma or equivalent required.
  • Three years of legal experience in the court system highly preferred. Prior experience with juvenile, probate, and guardianship law highly preferred.
  • Any combination of education and/or experience which provides the necessary knowledge, skills and abilities to perform these job duties.
