POSITION SUMMARY:




The Deputy Project Manager (DPM) will support the Project Manager with overseeing the overall management and oversight of onsite and hybrid day-to-day operations of a large, highly complex, fast-paced, multifaceted project that focuses on document processing, stringent performance measurement, quality control and customer service. This includes, but is not limited to, the following responsibilities:

RESPONSIBILITIES:



Assist the Project Manager in technical and personnel matters to ensure contract deliverables are met. Assist Project Manager with completing daily, monthly, quarterly, and bi-annual project deliverables. Assist Project Manager with providing responses to FDA stakeholders regarding project related matters. Serves as the primary project liaison in the absence of PM for all contractual, project, and staff related matters. Leads meetings in absence of Project manager to ensure information is being properly communicated to the customer and project staff. Manage employee workloads for project activities including but not limited to: receipt and tracking of paper and electronic documents, scanning, paper document processing, electronic document processing, data entry, shredding, and filing and archiving as required. Interacts daily with project team leads to identify areas of concern, aid in meeting deliverables, and to acquire the status of project tasks. Perform quality and performance audits to ensure the project meets performance expectations. Create, implement, maintain, and routinely update Standard Operating Procedures (SOPs), project policies and procedures, training manuals and user guides to ensure project documentation is maintained. Develop, organize, and implement training for new and existing staff. Interviews potential employees to acquire the staffing talent needed to meet all project needs. Conducts periodic, mid-year, and annual evaluations for existing staff. Takes the appropriate corrective actions to mitigate project or personnel performance challenges. Assist in managing the profit and loss (P&L) goals and expectations of the organization. Supports corporate proposal and business development efforts to help expand the business.

SKILLS/ABILITIES




The successful candidate will be able to function in a fast-paced, high-volume work environment. They will bring a strong work ethic and be well versed in quality management and capable of performing complex analysis, which includes managing financial aspects of the project. They will also demonstrate strong verbal and written communication skills, the ability to storyboard and develop technical approaches, strong analytical capability, the ability to learn quickly, with high functionality with MS Office Suite (Word, Excel, and PowerPoint) and a proven track record of developing subordinate managers and employees.

EDUCATION/EXPERIENCE




Bachelor's degree in a technical, business or engineering discipline and/or eight (8) years of experience demonstrating ability in the management of large document processing projects with multiple teams. Federal Government and/or Federal Contracting work experience preferred in planning, directing, coordinating and managing work activities of technical and management personnel involving all aspects of records management, specifically document management, document processing and/or document scanning. Experience in an electronic document-based environment is preferred, and a writing sample will be required.


Project Management Professional (PMP) Certification, Certified Records Manager (CRM) and/or National Archives and Records Administration (NARA) certification is preferred. Experience in designing and developing process improvement plans through Six Sigma or another quality improvement plan is preferred.
