Job Description

We are building a winning Front Desk Team and are eager to meet an experienced, full-time Dental Receptionist & Dental Treatment Coordinator for our upscale cosmetic & full mouth rehab practice.

Dental front desk experience is mandatory, preferably 2 years of dental experience for the Reception position, and 4-6 years of experience for the Treatment Coordinator position. Both require an understanding of the importance of offering Concierge Level service and dedication to performing duties in an organized, efficient manner. Job Overview:



Out team members will be responsible for assisting the practice by educating patients on their dental needs, as well as helping them to make sound decisions about their care and financial arrangements. It is important our patients leave with an understanding of their treatment prior to their scheduled appointment. In addition to patient assistance, these positions are responsible for practice collections, maintaining minimum outstanding balances.

Essential Functions:



Act as the liaisons between the practice and the patient. Dedicate significant time to outgoing calls unscheduled treatment plan follow up. Oversee management of marketing lead follow up. Participate in ongoing learning related to improving office operations, case presentation and treatment plan acceptance. Outstanding time management and organizational skill to prioritize multiple tasks and responsibilities. Presents a professional, friendly, and positive manner to patients upon arrival and departure from their reserved appointments. Maintain short call list effectively to fill in the doctors schedule gaps. Collect all expected out of pocket expenses due for services rendered in office. Coordinates and collaborates with clinical staff to ensure seamless patient management experience. Develop and maintain doctor/hygienists schedule to meet practice goals Greet and check in/out patients from their appointments. Increase and stimulate new patient growth by supporting marketing and promotional programs. Respond to doctor, patient, and employee concerns and inquiries, and seek assistance when necessary. Review with the patients the nature of the problem and treatment diagnosed, answer questions/concerns, discuss and present creative financial options, make agreements (in writing) with regard to treatment, cost, and method of payment while emotional attachment is high. Track all treatment presented and follow up with patients Monitor the case acceptance ratio on all treatment plans presented. Our goal is 80% case acceptance ratio. A case is considered accepted when a patient has scheduled treatment and has either paid in full, or a financial arrangement is in place. Experience and familiarization with third party financing. (Proceed Financing, Cherry, Sunbit.) If a patient has insurance, estimate their coverage, educate patients on their benefits/limitations versus their out of pocket expense. Ensure all patients scheduled have a SIGNED financial estimate (Treatment plan). Ensure that all patient records and consents are current and accurate prior to treatment. Maintain and organize the front desk and reception areas for cleanliness Complete "end of day" routines such a closing out the business day. Prepare treatment acceptance stats huddles. Audit schedule for accurate appointment lengths, coding, and balances/treatment to be discussed.

Knowledge Of:



Open Dental software, Dental Intel knowledge a plus, Microsoft office, accurately correspond with patients verbally and through written communication using proper grammar, spelling and punctuation. Excellent telephone etiquette is required to clearly communicate with patients both in person and through written communication, excellent customer service verbiage.

Skills/Abilities:



Treatment Coordinator must have 4 or more years of high case value dental treatment coordinating experience Knowledge of insurance terminology and policies Computer proficiency and the ability to learn new programs. Ability to demonstrate independent thinking and exercise good/sound judgement. Perform frequent repetitive work with attention to detail. Flexible and accept different work assignments with a positive approach. Follow instructions and take responsibility for your role. Exercise confidentiality with patients and patient care. Listen attentively for clarification to ensure necessary outcomes. Ability to work both independently and in a team environment. Ability to adapt to changing environments and priorities.
