We are seeking a dynamic and organized Dental Front Desk Business Associate to join our well-established private, fee for service, two doctor dental practice. In this essential role, you will be the friendly first point of contact for patients, ensuring a smooth and welcoming experience from the moment they walk through the door. Your energetic approach and attention to detail will help coordinate appointments, manage patient records, and support the clinical team with administrative tasks. Duties



Greet patients warmly and professionally, creating a positive first impression Schedule, reschedule, and confirm patient appointments using Dentrix dental practice management software Verify insurance coverage and benefits, including insurance verification for dental plans Collect payments, review financial arrangements for diagnosed treatment, and handle billing inquiries with accuracy and professionalism Manage patient check-in and check-out procedures efficiently, ensuring all documentation is complete and accurate Maintain and update patient records in Electronic Health Record (EHR) system in compliance with HIPAA regulations Review medical and dental documentation for completeness and accuracy Handle multi-line phone systems with excellent phone etiquette to address patient inquiries promptly Facilitate communication between patients and clinical staff regarding treatment plans and follow-up appointments Manage office supplies, filing systems, and medical records to ensure organized clinic operations Assist with dental administrative support tasks such as intake forms, dental billing, coding, and documentation review Support front desk operations by managing appointment reminders, cancellations, and rescheduling efficiently

Experience



Proven experience working (minimum 3 years) as a Dental Front Desk Business Associate/Receptionist or in a medical office environment with dental clinic experience preferred Strong knowledge of dental terminology, medical terminology, dental coding, and health information management practices Familiarity with Dentrix dental practice management software is highly desirable Demonstrated ability to handle insurance verification processes accurately for various plans Excellent computer skills including proficiency in Microsoft Office applications (Word, Excel) and electronic health record (EHR) systems Exceptional customer service skills with the ability to communicate effectively Prior clerical experience involving filing, data entry (including 10-key typing), dental billing, scheduling, and office management tasks Knowledge of HIPAA regulations to ensure patient confidentiality at all times Experience working in a fast-paced dental practice environment with strong organizational skills and attention to detail
