Responsibilities



Greet patients warmly upon arrival, verify insurance information, and assist with patient check-in and check-out procedures. Schedule appointments efficiently using dental practice management software such as Eaglesoft or Dentrix, managing multi-line phone systems with professionalism and courtesy. Collect patient information, update medical and dental histories, and review documentation for accuracy and completeness. Assist the dentist during procedures by preparing instruments, taking x-rays, and ensuring patient comfort throughout treatment sessions. Maintain accurate dental records by documenting treatment details, coding procedures with CPT (Current Procedural Terminology), ICD (International Classification of Diseases) codes, and ensuring compliance with HIPAA regulations. Verify insurance benefits, process claims using Meditech or similar EMR (Electronic Medical Records) systems like eClinicalWorks or Athenahealth, and follow up on outstanding payments through medical collection processes. Manage administrative tasks including filing medical records, handling correspondence, and performing clerical duties such as typing reports and updating patient files. Ensure the clinic's compliance with health information management standards by reviewing documentation for accuracy and completeness. Support office management activities such as inventory control of dental supplies, maintaining cleanliness of clinical areas, and assisting in billing and medical coding activities related to Medicare or other insurance providers. Provide exceptional patient service by addressing inquiries via phone etiquette, managing patient intake efficiently, and fostering a welcoming environment.

Skills



Strong knowledge of dental terminology, medical terminology, ICD-10/ICD-9 coding, CPT coding, and medical billing procedures. Proficiency in EMR systems such as Eaglesoft, Dentrix, Meditech, eClinicalWorks, or Athenahealth; experience with health information management is highly desirable. Familiarity with insurance verification processes including Medicare and other third-party payers. Excellent computer skills including Microsoft Office suite (Word, Excel), typing (10-key), and familiarity with office management software. Ability to handle multi-line phone systems effectively while demonstrating professional phone etiquette. Experience with medical administrative support tasks such as filing, documentation review, scheduling appointments, and managing medical records. Knowledge of HIPAA regulations to ensure patient confidentiality and data security at all times. Bilingual abilities are a plus to serve diverse patient populations effectively. Prior clinic or dental office experience is preferred; familiarity with dental terminology such as care plans is advantageous. Strong organizational skills combined with attention to detail for accurate documentation review and medical coding activities.
