The Database and Gift Processing Coordinator is an integral member of the Office of Development and Alumni Relations and is responsible for managing the donor database (Raiser's Edge) and leads key activities such as gift processing, generating thank you letters, income reconciliation, benefactor communications, and other administrative duties as assigned. This position ensures donor information is accurate, confidential, and that related reports are available as needed. This role requires working closely with various internal stakeholders outside of Development including the Business Office, Admissions, and Administration. A positive, diligent, detail-oriented professional who has excellent database skills and enjoys being part of a mission-focused team is an ideal candidate for this role.
Duties and Responsibilities
This position partners with colleagues from the Office of Development and Alumni Relations to effectively implement the overall process for maintaining a robust and accurate Raiser's Edge database for Loyola and for all Raiser's Edge functions, including data entry, gift processing, constituent lists, statistical reports and analysis, etc.
Responsible for gift processing functions and procedures, including timely entry of donations, review of gift documentation, and production of accurate thank you letters and tax receipts.
Interface with the Business Office regarding gift reporting and donation reconciliation.
Ensures benefactors are acknowledged and recognized in a timely and highly accurate manner to help steward and maintain their financial commitment to the school. This responsibility applies to both print and electronic gift/pledge acknowledgements.
Serve as subject-matter-expert for assisting team members with data, reports, and queries (e.g. Board reporting, Loyola Fund mailings/reports, campaign mailings and reports, and major gifts reports, pledge reminders, etc.).
Serve as subject-matter expert to assist team members with effective protocol and procedures for utilizing the database and to perform database projects as necessary.
Maintains all individual and organizational records, inputting and updating biographical, geographical, professional, financial, and other information.
This position will support an array of events and initiatives sponsored by the Office of Development and Alumni Relations as needed.
This position will perform other duties as assigned.
Associate or Bachelor's degree
A minimum of three to five years of work experience in a professional environment that is fast paced and requires attention to detail. Relevant experience and/or training, or an equivalent combination of education and experience in fundraising, database administration, gift processing, business office, and development services functions is a plus.
Excellent skills using Blackbaud Raiser's Edge NXT or similar databases.
Prior experience with fundraising or special events preferred.
Superb writing skills with attention to punctuation and grammar.
Excellent attention to data details, organization, analysis, reporting, and meeting deadlines.
Personable and professional demeanor.
Desire to take initiative and ability to solve problems.
Highly organized, self-starter with strong time-management skills. Ability to review procedures, identify problem areas, and suggest changes to procedures.
Advanced computer skills with proficiency in Microsoft Office Suite (Word and Excel).
Strong desire to reflect our Catholic, Jesuit values in daily interactions with all constituents.
