Job Description

Reporting to the Director of Data Operations, the Data Operations Specialist ensures the accuracy, completeness, and strategic utility of data within the Customer Relationship Management (CRM) system. This role supports fundraising, engagement, and analytics efforts by verifying, entering, and maintaining demographic, biographic, and professional data related to Oregon State University (OSU) Foundation donors and constituents. The Specialist will also contribute to strategic data initiatives, including "big data" projects, and collaborate across departments to improve data workflows and stakeholder communication. The position routinely handles confidential information about OSU alumni, donors, and friends. This individual will work as part of a team and be required to regularly problem-solve and interface with a variety of stakeholders.

The work of this team is integral to the fundraising and engagement efforts of Foundation staff, the OSU President's Office, and campus colleges and units.

Data Management and Integrity

Administer and audit CRM records in alignment with established data governance protocols. Ensure accurate data entry and verification across a wide range of constituent groups. Safeguard sensitive information by upholding strict confidentiality and data security standards. Configure, maintain, and optimize no-code automation tools to streamline data workflows.

Project Management

Partner with the Director of Data Operations to define project scope, priorities, and resource allocation. Monitor timelines and deliverables using project management platforms to ensure on-time execution. Facilitate clear and proactive communication with stakeholders to gather requirements, address challenges, and resolve conflicts.

CRM Optimization

Champion improvements in CRM data organization and support process improvements Conduct testing and validation of CRM upgrades to maintain data integrity and system performance. Develop and refine automated workflows to support recurring tasks and drive operational efficiency.

Strategic Data Initiatives

Contribute to enterprise-level data projects by preparing datasets, documenting methodologies, and collaborating with analytics teams. Engage in cross-functional planning to align data operations with broader organizational objectives.

Stakeholder Engagement and Team Collaboration

Provide responsive and professional communication to donors and constituents via email or phone, ensuring clarity and excellent service. Support team members during peak activity periods and complex initiatives. Share expertise through training, documentation, and collaborative learning. Participate in team goal-setting and continuous improvement efforts.

Knowledge/Skills:


Excellent written and verbal communication skills with keen attention to detail.
Ability to manage multiple tasks, prioritize workload, and meet deadlines in a dynamic environment.
Proficient and error-free skills in data entry--maintaining high standards of quality control and accuracy.
High level of discretion and confidentiality when handling sensitive donor and legal information CRM systems and data governance.
Intermediate to Expert skills in Microsoft Office Suite, especially Excel.
Familiarity and experience with No Code Solutions.
Ability to exercise and establish project management and workflow documentation.

Measures of Success:

Maintain 90% accuracy rate for CRM data entry Complete standard data requests in a timely process (typically within 10 business days, although timelines may change subject to business needs) Document and follow standard operating procedures for recurring tasks Demonstrate consistent and measurable progress on strategic data initiatives (e.g., data loads, large data coding segments and projects) Strength of Stakeholder Relationships - Effectively serving as a reliable point of contact between internal teams, and external partners, donors and other organizational partners.

Education/Experience:


Bachelor's degree is required, with preferred majors including Computer Science, Business Administration, or a related field. At least one year of prior work experience in organizing, documenting, and entering sensitive information into computer systems is also required. Strong attention to detail, speed, and accuracy are essential in this data entry role

Work Location




The work location for this position is the OSU Foundation's Corvallis, Oregon office.


The Foundation offers a program called Core Work Days, a hybrid approach combining remote and in office work days. Unless traveling for work, Foundation employees are in office on Tuesday, Wednesday and Thursday, and work remotely, if preferred, on Monday and Friday.
