We are seeking a highly organized, customer-focused
Front Office Manager
to lead our front desk operations at our busy automotive collision center. This role is the heartbeat of the shop -- the first and last impression for customers and the central communication hub between technicians, insurance partners, vendors, and customers.

Key Responsibilities
Customer Service & Front Desk Management
Greet customers in person and over the phone; provide updates throughout the repair process.
Schedule estimates, repairs, rentals, and deliveries.
Handle inbound calls, emails, and walk-in inquiries promptly and professionally.
Insurance & Repair Coordination
Communicate with insurance adjusters and claims representatives.
Assist customers with claims documentation and approvals.
Prepare repair orders and ensure accurate data entry into management software.
Administrative & Financial Oversight
Process payments, invoices, work authorizations, and receipts.
Maintain organized digital and physical files for estimates, repairs, and customer records.
Track parts orders, rentals, and vendor follow-ups as needed.
Team Communication & Workflow Support
Coordinate daily repair schedules with technicians and production staff.
Ensure customers are kept informed of timelines, delays, or changes.
Assist management with reporting and performance tracking.
Qualifications
Previous experience in
automotive service, collision repair, or dealership front office
preferred.
Strong
customer service and administrative skills
.
Proficiency with
Microsoft Office and shop management software
(experience with CCC ONE / Mitchell is a plus).
Ability to
multitask and stay calm under pressure

Excellent
communication and problem-solving skills
