Position Overview
The Client Service Representative (CSR) is often the first point of contact for clients, both in person and over the phone. This role is essential in creating a welcoming and professional experience while supporting the medical team with smooth client and patient flow. The CSR handles incoming calls, schedules appointments, processes payments, maintains accurate records, and provides general administrative support to ensure the highest level of service for clients and their pets.
Key Responsibilities
Client Interaction
Warmly greet clients and patients upon arrival, ensuring a positive first impression.
Answer multi-line phone system quickly and professionally; direct calls or take messages as needed.
Screen calls and, following hospital protocols, refer urgent cases to the medical team.
Provide accurate information about hospital services, fees, and policies.
Escort clients and patients to exam rooms and alert medical staff of their arrival.
Administrative Support
Accurately enter and update client and patient records in the practice management system.
Prepare client forms, health certificates, and related documentation.
Process invoices, collect payments, and reconcile daily transactions.
Assist with over-the-counter retail sales of food, preventatives, and other pet-related products.
Team & Facility Support
Maintain the cleanliness and professional appearance of the reception and waiting areas.
Collaborate with other team members to ensure smooth patient care and client service.
Support marketing and client communication efforts, including reminders and follow-ups.
Perform additional duties as assigned by leadership.
Position Requirements
Education & Experience
High school diploma or equivalent required.
Veterinary office experience
REQUIRED
Proficiency in basic office functions, computers, and multi-line phone systems.
Skills & Personal Attributes

Ability to multitask in a busy, fast-paced environment.
Strong communication skills with professionalism, tact, and empathy.
Flexibility and adaptability in work habits and scheduling.

Physical & Work Environment
Must be able to lift up to 25 lbs and remain standing or seated for extended periods.
Exposure to animals, unpleasant odors, noises, and potential scratches/bites.
May be exposed to contagious diseases and animal waste.
