The Team The Global Security (GS) team is part of the foundation\xe2\x80\x99s operations division. We protect personnel, offices, information and the foundation\xe2\x80\x99s reputation through our work on physical security and information security. **This application will close end of day Thursday, April 20** Your Role Facilitates and coordinates a range of activities and projects in support of a team or division. Works independently at times to plan and coordinate GS bodies of work. Works collaboratively with both internal and external stakeholders to manage small projects and to plan and coordinate meetings, events and communications. Builds, defines and maintains information, systems and processes to support the work of the assigned team and team members. This role reports to the Chief Security Officer. What You\xe2\x80\x99ll Do
  • Complete a broad range of administrative tasks including managing very active and complex calendars of appointments for team leadership, requiring frequent engagement with multiple external parties and foundation leadership; complete expense reports; compose and prepare confidential correspondence; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related and other meetings.
  • Travel arrangements include but not limited to: Passport renewals, visa, car, hotel, flight.
  • Work closely and effectively with team leadership, providing timely visibility and context for upcoming commitments and responsibilities, and managing associated follow-ups.
  • Support and manage global team-wide and leadership-specific events, and meetings including retreats, key leadership meetings, and presentations, with consideration of the team\xe2\x80\x99s rhythm of business, coordinate communications and associated logistics and materials with internal and external participants.
  • Facilitate standing and ad hoc meetings for the team by creating the agenda and slide deck.
  • Act as liaison for team with internal partners, routing requests appropriately, and supporting the investment approval processes. Support communications and operational processes to ensure timely responses to inquiries.
  • Act as a "barometer" by having knowledge of key foundation or division-wide updates and initiatives and highlighting appropriately to key team collaborators.
  • Lead projects to strengthen team culture, in collaboration with all team members.
  • Coordinate and facilitate team member onboarding and offboarding in partnership with hiring managers for a global team.
  • Create, update, and maintain knowledge management processes through document management and collaboration platforms such as SharePoint, Microsoft Teams, and OneNote; support business team members in maintaining best-practices for organization and record-keeping.
  • Maintenance and evolution of the team SharePoint site and Ampersand and Catalyst postings as required.
  • Serve as the GS subject matter authority on Mural and other tools to foster inclusive collaboration.
  • Develop and project manage monthly tracking system of GS work at the team and group level, highlighting each month completed work and areas of focus for the next month. Engage GS staff to inform tracking and highlight risks, delays, and opportunities. Provide early warning to GS management on significant delays to existing work or new work demands. This may include work with SmartSheets or PowerBI for management of GS work in progress, look ahead, and strategic tie in to COO goals.
  • Coordinate Quarterly Business Review process with vendors, to include ensuring appropriate scheduling and preparation. Develop repository and tracking for QBR commitments and takeaways.
  • Work on team- and division-specific special projects.
  • Manage Space Planning.
Your Experience
  • Excellent skills in the in the areas of judgment, organization, diplomacy, discretion and written and oral communication.
  • Ability to synthesize multiple data sources and manage personalities while keeping tasks or projects on time and on budget.
  • Ability to plan and run effective meetings or events, including anticipating needs or complications and acting proactively to address them.
  • Ability to triage, manage and prioritize tasks and deadlines.
  • Ability to access and analyze data across multiple tools and systems.
  • Strong skills in Microsoft Office (e.g., Outlook, Teams, Word, Excel and PowerPoint) and Mural.
  • Bachelor\xe2\x80\x99s degree and 3+ years of experience, or equivalent experience.
  • Project management, portfolio management, contract management, financial management, financial reporting, non-profit or related industry, and/or business experience preferred.
  • Must be able to legally work in the country where this position is located without visa sponsorship.
The typical salary range for this role is $26.78 to $49.44 USD. The exact offer will be determined by a variety of factors such as the candidate\xe2\x80\x99s individual skills, qualifications, and experience relative to the requirements of the role.
