To make this possible, we're implementing a sophisticated multi-level payout and preorder system within Shopify -- and we're looking for a

Controller

to lead all financial infrastructure, compliance, and reporting as we scale.

The Role



This is a high-ownership role combining controllership, systems implementation, and regulatory precision. You'll build and operate the finance backbone that keeps

Scentwork's payouts, refunds, and revenue recognition airtight

as the business scales.

You'll report directly to the founder and work closely with operations, legal, and technology to ensure financial accuracy, risk control, and transparency across every transaction.

What You'll Do



Build and own the financial core



Establish GAAP accounting, monthly close (10-day target), and chart of accounts designed for ecommerce + multi-level payouts. Oversee revenue recognition for

preorders, refund windows, and cohort-based shipping

under FTC rules. Stand up payout infrastructure (

Stripe Connect / Trolley / Tipalti

):

KYC, W-9 collection, OFAC screening, clawbacks on refunds, 1099 issuance

, and escheat handling. Manage multi-level

sales-only commission tracking

(10% / 7.5% / 2.5% tiers), reconciliation, and exception handling.

Control, compliance & risk



Draft and enforce financial policies: payouts approval, refund exceptions, fraud investigation handoffs. Coordinate

sales tax

,

1099-K/NEC filings

, and

marketplace facilitator

obligations. Partner with Legal to ensure Terms, Rewards Policy, and "Love it or it's Free" refund rules align with accounting best practices.

Forecasting & reporting



Manage working capital, cashflow forecasting, and cohort profitability. Create margin and payout dashboards by SKU and participant level. Deliver monthly board-ready reports covering P&L, refund rates, payout liability, and reserves.

Systems integration



Connect

Shopify

, payout platforms, and accounting software (e.g., QBO or NetSuite) via middleware for automated reconciliations. Own data integrity from order creation through payout, refund, and reporting.

What You Bring



7-10+ years' experience in

accounting/controllership

for

ecommerce, DTC, or marketplace models

. Proven experience with

payout systems (Stripe Connect, Trolley, Tipalti, etc.)

including 1099 and OFAC compliance. Deep understanding of

revenue recognition

,

refund reserves

, and

multi-level sales commissions

. Proficiency in financial automation tools and ERP integrations. Strong communication skills and ability to work cross-functionally with Legal, Product, and Operations.

Bonus points if you have:



Exposure to

affiliate or direct-selling models

(especially sales-only). Experience with

fragrance, cosmetics, or regulated CPG

. Prior Big 4 or startup experience balancing compliance with speed. Knowledge of

escheatment, fraud prevention, and payouts risk controls

What Success Looks Like (90-Day Plan)



30 days:

Month-end close clean; payout vendor selected; draft payout/commission policy live.

60 days:

First live test payout through KYC ? W-9 ? OFAC ? 1099 pipeline; refund clawbacks verified.

90 days:

10-day close cycle; automated reconciliations across Shopify ? payouts ? GL; full board-ready dashboard and compliance binder complete.
