Position Summary
The Controller / Director of Accounting is responsible for the integrity, accuracy, and timeliness of the organization's financial records and accounting processes. This role oversees accounts payable, month-end close, general ledger activity, and coordination with external accounting firms, while supporting payroll and reimbursement processes in collaboration with internal staff and outside vendors.
This position serves as the organization's primary internal accounting authority and financial process owner, ensuring sound controls, reliable reporting, and clear financial visibility for executive leadership. Strategic financial decisions, including cash-flow prioritization and vendor payment sequencing, are made in partnership with the CEO/Administrator.
Maintain the general ledger and ensure accurate, timely month-end and year-end close.
Prepare and review journal entries, account reconciliations, and supporting schedules.
Produce monthly financial statements and variance analyses for executive review.
Ensure compliance with not-for-profit accounting standards and applicable regulations.
Coordinate annual audits, tax filings, and financial reviews with external accountants.
Accounts Payable & Cash Flow Support
Oversee accounts payable processing and ensure accurate coding and documentation.
Prepare weekly and monthly AP aging and cash-flow projections.
Identify payment timing risks and present options and recommendations to the CEO/Administrator.
Execute vendor payments in accordance with approved priorities and internal controls.
Maintain strong vendor relationships while balancing organizational cash-flow needs.
Payroll Coordination
Collaborate with Human Resources to support accurate and timely payroll processing.
Review payroll data for reasonableness and consistency prior to final submission.
Assist with payroll reconciliations and related journal entries.
Ensure payroll-related liabilities are properly recorded and paid.
Business Office & Reimbursement Oversight
Provide functional supervision and support to the Business Office Manager.
Collaborate with the Business Office Manager and external vendors on Medicare and Medicaid reimbursement processes.
Coordinate preparation and submission of Medicare and Medicaid cost reports with outside consultants.
Serve as an internal financial resource for reimbursement-related questions and documentation.
Internal Controls & Process Improvement
Maintain and strengthen internal financial controls, segregation of duties, and approval workflows.
Develop and document accounting policies, procedures, and timelines.
Identify opportunities to improve efficiency, accuracy, and financial transparency.
Support leadership in reducing financial risk and improving operational discipline.
Leadership & Collaboration
Serve as a trusted financial partner to the CEO/Administrator.
Communicate financial information clearly to non-financial leaders.
Support budgeting, forecasting, and long-range financial planning as requested.
Participate in leadership meetings and provide financial insight as needed.
Authority & Decision-Making
Authorized to manage accounting processes and recommend financial actions.
Cash-flow prioritization and vendor payment sequencing decisions are made collaboratively with executive leadership.
This role does not independently authorize major financial commitments or deviations from approved payment priorities.
Qualifications Required
Bachelor's degree in Accounting, Finance, or related field.
Minimum of 5 years of progressive accounting experience.
Strong knowledge of general ledger accounting, AP, payroll coordination, and financial reporting.
Experience working with external accounting firms and auditors.
High attention to detail, integrity, and discretion.
Ability to work effectively in a healthcare or regulated environment.
Preferred
Experience in skilled nursing, healthcare, or not-for-profit organizations.
Supervisory experience.
Familiarity with Medicare and Medicaid reimbursement concepts and cost reports.
