OVERVIEW
We are seeking a Contract Administrator to join our growing Legal and Operations team. This role is ideal for someone who thrives in a fast-paced, construction-oriented environment and enjoys balancing legal precision with real-world project execution.
The Contract Administrator will support our Legal, Sales, Operations, and Project Management teams by managing the review, negotiation, and administration of contracts for crane, rigging, and heavy hauling services. This position plays a key role in reducing risk, maintaining compliance, and ensuring contract terms align with Bay Crane's operational objectives.
WHAT YOU'LL DO
Review, draft, and manage contracts, subcontracts, and client agreements across multiple regions.
Evaluate terms and conditions to identify potential risks and ensure compliance with company standards.
Support negotiations and coordinate revisions with customers, subcontractors, and internal teams.
Track key contract dates, renewals, deliverables, and insurance requirements.
Maintain accurate and organized contract files, records, and correspondence.
Partner with Sales, Project Management, and Finance teams to forecast contractual needs early in the project lifecycle, ensuring all agreements and documentation are in place to support smooth operations and avoid last-minute troubleshooting throughout the duration of each project.
Assist with RFPs, bid submissions, and prequalification forms.
Provide input on process improvements, templates, and internal contract tracking systems.
WHAT YOU'LL BRING
5+ years of experience in contract administration, preferably within construction, equipment rental, or industrial services.
Strong understanding of commercial contracts, subcontracts, and risk management principles.
Proficient in Microsoft Office (Word, Excel, Outlook) and document organization.
Excellent reading comprehension and attention to detail.
Strong problem-solving mindset -- demonstrates initiative and persistence in resolving issues or ambiguities ("figuring it out") while maintaining accuracy and compliance.
Strong written and verbal communication skills--able to summarize complex terms clearly.
Proven ability to manage multiple projects and deadlines across teams.
Bachelor's degree in Business, Legal Studies, Construction Management, or related field preferred.
Paralegal certification or equivalent experience a plus.
