The Construction Operations Coordinator will play a key role in ensuring projects run smoothly from start to finish -- supporting field teams, coordinating schedules, managing documentation, and assisting leadership with day-to-day operations.
Key Responsibilities
Coordinate administrative and operational tasks related to active construction projects.
Maintain and update project schedules, reports, and documentation in BuilderTrend (or similar project management software).
Track submittals, purchase orders, and change orders; ensure all records are current and accurate.
Support project managers and superintendents with scheduling, job setup, and close out procedures.
Source and vet subcontractors for ongoing and upcoming projects and ensure proper documentation is on file.
Communicate with vendors, subcontractors, and internal teams to ensure project timelines and requirements are met.
Assist with bid preparation, job costing, and budget tracking as needed.
Manage incoming correspondence, RFIs, and permits; ensure documentation compliance.
Help coordinate materials delivery, equipment tracking, and inventory requests.
Assist in documenting internal policies and procedures.
Provide administrative support to the Construction Operations Manager and Division leadership team.
Qualifications
Minimum 2 years of experience in construction coordination, project administration, or a related role.
Strong computer skills, including Microsoft Office (Excel, Word, Outlook) and project management software.
Excellent organizational skills with high attention to detail.
Strong written and verbal communication abilities.
English/Spanish bilingual is required.
Ability to multitask, prioritize, and meet deadlines in a dynamic environment.
Team-oriented attitude with a proactive and solution-driven approach.
Strong sense of accountability and self-motivation when working independently and in a remote environment with limited oversight.
