. In this role, you will be responsible for overseeing and coordinating a variety of administrative and financial activities that support our construction projects. From maintaining accurate records and preparing project documents, to assisting with accounting processes and vendor coordination, you will play a key role in keeping our operations efficient and successful.
This position is ideal for a detail-oriented, organized, and proactive professional with strong construction administration experience and a desire to contribute to a growing company.
Key Responsibilities
Project & Field Support
Communicate job details with Foremen and ensure teams have the resources they need.
Prepare and distribute project plans, create job folders, and maintain job lists.
Prepare submittals for inspectors and ensure compliance with project requirements.
Administrative & Office Management
Monitor and order office supplies as needed.
Handle incoming/outgoing mail distribution.
Maintain safety and driver records.
Manage apprentice requests/forms for prevailing wage projects.
Accounting & Financials
Enter contracts and bills into
QuickBooks
.
Manage accounts payable/receivable filing.
Reconcile bank accounts and review vendor statements.
Collect rental payments and assist with financial tracking.
Vendor & Material Coordination
Request material quotes from vendors.
Maintain vendor communication and ensure all documentation is accurate and up to date.
What We're Looking For
Minimum of
4 years of office administration experience
in construction and/or general engineering.
Proficiency in
QuickBooks
and MS Office (Word, Excel, Outlook, PowerPoint, SharePoint, Google Calendar).
Experience working with an
HP Plans Printer
.
Excellent organizational and time-management skills, with the ability to meet tight deadlines.
Strong written and verbal communication skills.
High attention to detail and accuracy.
Proven problem-solving skills and ability to work independently and as part of a team.
High school diploma or GED required (Associate's or Bachelor's degree preferred).
