JOB SUMMARY



The Construction Administrator plays a key role in supporting project operations by keeping teams organized, informed, and aligned throughout the lifecycle of each project. This position provides comprehensive administrative and coordination support from initial project planning through final closeout. The role focuses on maintaining accurate project documentation, coordinating subcontractor activities, managing purchase orders, tracking insurance compliance, and ensuring steady communication between field and office teams.

KEY RESPONSIBILITIES



Prepare project correspondence and maintain organized job files

Create and manage purchase orders for materials within approved cost limits

Prepare subcontract agreements and verify all attachments are complete

Maintain subcontractor insurance records and compliance logs

Assist with weekly project meetings, project status updates, and take minutes

Maintain updated subcontractor and vendor logs

Ensure timely communication between Development, Project Management, and leadership

Provide general administrative support to keep project operations running smoothly.

Take minutes for Project OAC meetings, internal project meetings, and the weekly Construction Department meeting.

Prepare contract addendums with supporting documentation, and help maintain project binders, closeout packages, and warranty files.

Support the team by helping monitor compliance with contract requirements.

Maintain the Construction Department's office supply inventory and coordinate restocking as needed.

Track change orders, keep documentation organized, and route items for approval.

Manage project correspondence, meeting agendas, and follow-up action items to keep communication on track.

Update subcontract documents as needed and as approved by the Management Group.

Draft boilerplate subcontracts and exhibits for new projects.

Assist with onboarding new subcontractors, ensuring all required documents are collected and complete.

Set up and break down lunch-and-learn sessions for the department.

Send plans and other requested materials using the company's FedEx account.

Ensure subcontract agreements and purchase orders are routed promptly and fully executed with all required signatures.

QUALIFICATIONS



Two years of related work experience required

One year of experience in construction is preferred

High school diploma or equivalent required

Vocational or technical training preferred

Notary Public certification is a plus

Ability to type at least 65 words per minute

Strong proficiency in Microsoft Word, Excel, Powerpoint, ACC, Procore and general office software

Previous experience in an administrative or project support role

WORK ENVIRONMENT



This role works closely with the Project Manager, Assistant Project Manager, Compliance Manager and field teams. You will be part of a collaborative environment that values reliability, communication, and steady follow-through.

Pay: $55,000.00 - $70,000.00 per year
