The Construction Administrator plays a vital role in the start of the building process and maintains a smooth process until finish. Acting as the central hub between the office and the field, this person oversees all administrative details tied to each project -- from permit applications, preliminary plot plan, final plot plan, neighborhood planning and utility coordination to scheduling inspections, and managing accurate documentation through completion.

Responsibilities
Project Administration & Coordination
Monitor construction schedules in the company's project management platform, updating as needed and flagging any discrepancies or timeline adjustments.
Oversee and manage all administrative tasks for assigned construction projects from permitting through closing.
Request and track plot plans, review plot plans and get approved timely with the Production Manager, building permits, and other required approvals; maintain accurate documentation throughout the process.
Coordinate directly with field superintendents on scheduling and tracking inspections, ensuring compliance with local regulations and company standards.
Apply for, track, and manage the activation and cancellation of all utilities and meter installations for each project.
Maintain organized and complete electronic files for every project, ensuring that all documents are up to date and properly stored.
Communication & Collaboration
Serve as the key liaison between the office, field superintendents, and external agencies.
Communicate professionally and efficiently with team members, vendors, and local municipalities.
Work closely with Client liaison, Supers, and the Warranty Coordinator to coordinate final walks, and key milestones as homes approach completion.
Anticipate potential bottlenecks or conflicts in scheduling, proactively offering solutions to keep projects on track.
Process & Quality Management
Uphold company standards for accuracy, compliance, and professionalism across all project files and communications.
Continually seek opportunities to improve systems and processes for greater efficiency and consistency.
Identify and resolve administrative or procedural issues before they impact the field schedule or closing timeline.
Track and communicate key milestones to ensure deadlines are met without last-minute surprises.
Qualifications
3+ years of experience
in construction administration, residential homebuilding, or a related role involving permitting, scheduling, and documentation.
Exceptional organizational and time management skills with the ability to manage multiple projects simultaneously.
Strong attention to detail and accuracy -- catching small issues before they become big problems.
Excellent written and verbal communication skills, with the ability to communicate clearly and professionally across departments and with outside contacts.
Tech-savvy with strong proficiency in Microsoft Office and construction management platforms (Buildertrend, BuildPro, or similar).
Ability to thrive in a fast-paced environment and pivot quickly when priorities change.
