Duties
Manage front desk responsibilities, including greeting visitors and directing calls
Operate multi-line phone systems with professionalism and courtesy
Handle data entry, filing, and document proofreading to ensure accuracy and completeness
Lucernex Management (Will provide training)
Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
Maintain organized records of project documents, invoices, and correspondence
Assist with bookkeeping tasks using QuickBooks or similar accounting software
Support calendar management for project schedules and meetings
Provide customer service support by addressing inquiries via phone or email
Coordinate office supplies procurement and manage inventory levels
Perform general clerical duties such as typing reports, managing emails, and scheduling appointments
Support project documentation efforts, including filing permits and contracts
Qualifications
Proven experience in office management, administrative support, or clerical roles within construction or related industries
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with QuickBooks or bookkeeping software is preferred
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong communication skills, including phone etiquette and customer service experience
Bilingual abilities are a plus to assist diverse clients and vendors
Experience with front desk operations and multi-line phone systems preferred
Ability to handle proofreading tasks accurately and efficiently
Personal assistant experience or medical/dental receptionist background is advantageous
Demonstrated time management skills to prioritize tasks effectively
