The Compliance Specialist ensures strict adherence to regulatory requirements and internal policies within the organization. This includes managing vendor relationships, reviewing contracts, performing audits, overseeing record retention, and handling compliance-related tasks across multiple departments. The specialist works closely with project managers, auditors, and other stakeholders to mitigate risks, maintain operational integrity, and support compliance initiatives throughout the organization.
Essential Functions & Responsibilities:
BSA (CTR, SAR, Fraud,314(a)): Review Currency Transaction Reports (CTR) and Suspicious Activity Reports (SAR) for accuracy and compliance. File regulatory reports through compliance software and process the 314(a) checks. Analyze incidents and act accordingly to maintain compliance. Process submission timely once approval received by the AVP of Compliance and Fraud.
Vendor Management: Add, edit, update, and maintain accurate vendor records. Proactively notify department managers about upcoming vendor contract renewals and request due diligence documents from critical vendors. Gather necessary due diligence documents from vendors to conduct risk assessments. Thoroughly review and analyze new vendor contacts and agreements. Ensure contracts align with regulatory requirements and organizational policies, offering recommendations for revisions where necessary. Coordinate with legal assistance.
Performing OFAC review audits: Conduct routine audits to ensure compliance with Office of Foreign Assets Control (OFAC) regulations
AUP Audits/Exams/BSA/SAFE/Equifax: Compile required documentation for audits and examinations and communicate with auditors and examiners. Ensure that compliance standards are met during internal and external audits.
Polices and Procedures: Notify managers when policies are due for review and assist in communicating regulatory changes. Assist in updating internal policies and procedures to comply with changes in regulations, internal audits, and examinations.
Department Support: Provide cross-department support to ensure compliance with all laws, regulations, polices, and procedures. Assist in fostering a culture of compliance throughout the organization.
Additional Duties: Performs other duties as assigned.
Record Retention: Track and manage stored documents to ensure compliance with retention schedules. Organize quarterly roundups of stored documents from branches and oversee shredding processes.
Project Support: Work with project teams to provide compliance guidance regarding agreements and contracts.
Handling Member Complaints: Document and manage complaints involving members, ensuring compliance with organizational policies and resolving issues promptly.
NMLS Management: Oversee the renewal process for users registered with the National Multistate Licensing Systems (NMLS), ensuring renewals and training are completed on time.
Performance Measurements:
Ensure all compliance tasks, including CTR, SAR, and 314(a) processing, are completed accurately and on time.
Maintain up-to-date vendor records and ensure due diligence is completed for all critical vendors, contributing to organizational reliability. Thoroughly review vendor contracts to confirm they align with regulatory and organizational requirements, demonstrating dedication to compliance excellence and supporting operational focus.
Successfully compile, review, and submit required documentation for internal and external audits, ensuring the organization passes with minimal findings. Collaborate with auditors and examiners with professionalism and accuracy to reflect Community South's passionate commitment to regulatory excellence.
Regularly notify managers of policy review deadlines and ensure updates align with regulatory changes, fostering a culture of flexibility and focus in adapting to industry standards. Assist in creating clear and actionable compliance policies that promote long-term member success and internal reliability.

Knowledge and Skills:
Experience:
One year to three years of similar or related experience.
Education:
A high school education or equivalent required.
Interpersonal Skills:
Strong communication and collaboration skills to interact effectively with managers, auditors, vendors, and project teams. Ability to maintain professionalism and confidentiality when handling sensitive member or organizational information. Aptitude for conflict resolution and problem-solving in compliance-related scenarios. Demonstrated ability to foster a culture of compliance across departments.
Other Skills:
Proficiency in compliance management software, vendor management software, Microsoft Office Suite (Excel, Word, PowerPoint), and document retention tools. Strong analytical and organizational skills to ensure accuracy in reporting and auditing. Knowledge of applicable federal and state regulations, including BSA, OFAC, and NMLS guidelines. Ability to adapt to changing regulatory environments and proactively implement solutions. Attention to detail and commitment to ensuring strict adherence to regulatory requirements.
Physical Requirements:
This position requires the ability to sit for extended periods while working at a desk, using a computer, and operating other office equipment. The role also demands the capacity to read and process documents, both in physical and digital formats, for prolonged periods. Strong communication skills are essential for engaging effectively in telephone conversations and virtual meetings. The ability to maintain focus and attention to detail in a dynamic and busy environment, ensuring a high degree of accuracy, is crucial. Additionally, the position may require occasional lifting and carrying of boxes or supplies weighing up to 50 pounds, as well as moving within the office environment, including walking, bending, and reaching as necessary.
Work Environment:
Standard office setting with periodic travel to branch locations or regulatory examinations. Occasional need for extended hours during deadlines or high-volume periods. The role will involve exposure to sensitive or confidential information, requiring a high level of discretion and confidentiality.
