Job Description

The

Clinical Operations Lead

oversees the daily coordination of clinical functions at DeNiel Foot & Ankle Center to ensure seamless operations, quality care delivery, and exceptional patient experiences.
Working collaboratively with the physician, practice manager, and medical assistants, this individual provides leadership, clinical oversight, and process optimization across all areas of patient care.

This position serves as a liaison between clinical and administrative staff, balancing hands-on patient care duties with operational management, compliance monitoring, and staff mentorship. The ideal candidate is proactive, detail-oriented, and committed to maintaining high standards of safety, service, and efficiency.

PEOPLE ESSENTIAL FUNCTIONS



Coordinates daily clinical operations to ensure efficient patient flow and provider support. Acts as a

clinical resource and mentor

to medical assistants and front-office staff. Provides training, guidance, and structured feedback to improve team performance and consistency. Assists with triage, prescription refills, prior authorizations, and patient education. Collaborates with leadership to identify and implement best practices in clinic workflow and patient care. Conducts or participates in daily and weekly team huddles to communicate priorities and resolve issues. Promotes teamwork, professionalism, and peer accountability among staff.

SERVICE ESSENTIAL FUNCTIONS



Demonstrates initiative in organizing, directing, and executing all aspects of clinical operations. Oversees preparation of charts, consent forms, timeout sheets, and documentation for all in-office procedures and surgeries. Ensures accurate documentation of vitals, medical history, and physician orders in

AdvancedMD

and EMR systems. Coordinates referrals and ensures proper communication with external specialists, imaging centers, and home health agencies. Provides backup support for medical assistants as needed to maintain efficient clinic flow. Monitors patient satisfaction and develops solutions to improve care delivery and experience.

QUALITY / SAFETY ESSENTIAL FUNCTIONS



Reviews SOAP notes daily for accuracy, completeness, and proper provider signatures. Ensures all clinical documentation meets quality and compliance requirements. Responds promptly to patient inquiries, complaints, or clinical concerns, escalating when necessary. Supports coordination of care with hospitals, emergency departments, and community providers. Models safe, compliant, and compassionate patient care practices.

FINANCE ESSENTIAL FUNCTIONS



Assists management with resource allocation and clinical budgeting needs. Coordinates completion of authorizations, pre-certifications, and procedure estimates. Reviews and maintains physician credentialing on a quarterly or biannual basis to ensure current contracts and competitive fee schedules. Monitors patient balances and verifies that billing staff are following up on unpaid accounts. Oversees that marketers send completed visit notes to referring physicians weekly to maintain strong referral relationships. Ensures laser and surgical reports are submitted accurately and on time.

GROWTH / INNOVATION ESSENTIAL FUNCTIONS



Partners with practice leadership to identify workflow inefficiencies and implement improvement strategies. Participates in process redesigns and training initiatives to improve patient access, efficiency, and clinical outcomes. Serves as a role model for continuous learning, innovation, and cross-department collaboration. Supports the orientation and development of new clinical employees. Encourages the use of technology and data-driven decision-making to enhance clinic performance.

EDUCATION



High school diploma or equivalent required. Completion of an accredited Medical Assistant program required. Associate's degree or bachelor's degree in healthcare administration, management, or related field preferred.

WORK EXPERIENCE



Minimum of

5 years

of progressive clinical experience, with at least

2 years in a leadership or coordination role

(podiatry or specialty practice preferred). Demonstrated experience mentoring, training, and supervising clinical staff. Strong familiarity with outpatient procedure workflows and EMR documentation. Knowledge of credentialing, billing, and insurance operations preferred.

LICENSES AND CERTIFICATIONS



Required:

Current Medical Assistant Certification (CMA, RMA, or CCMA).

Preferred:

Certified Phlebotomy Technician (CPT) or comparable credential.

CPR/BLS Certification

(AHA or equivalent) required and maintained in active status.

KNOWLEDGE, SKILLS, AND ABILITIES



Demonstrates clinical competency and understanding of outpatient medical procedures. Strong leadership and communication skills; able to mentor and motivate others. Proficient in

, EMR/EHR documentation, and Microsoft Office applications. Strong organizational and problem-solving skills; able to manage multiple priorities. Knowledge of HIPAA, OSHA, and infection control compliance standards. Professional demeanor and ability to work collaboratively across departments. Commitment to patient-centered care and continuous improvement.
