Clinical Coordinator

Med Spa & Wellness Practice | Providence, Rhode Island

Position Summary



A growing medical aesthetics and wellness practice in Rhode Island is seeking a confident, tech-savvy, and quick-learning Clinical Coordinator to assist with day-to-day clinic operations and patient support.

This role is ideal for someone who thrives in an independent, organized environment and enjoys both the clinical and operational sides of a modern medical practice. You'll assist during procedures, manage labs, handle medication and supply coordination, and ensure smooth, compliant patient flow throughout the clinic.

There is significant opportunity to grow into Patient Care Manager, Office Manager, or Service Provider roles as the practice expands.

Key Responsibilities



Prepare and reset treatment rooms for aesthetic and wellness procedures. Assist during treatments such as microneedling, PRF, injections, lasers, and regenerative services. Independently manage lab orders, specimen handling, and results coordination. Coordinate medication and compounding pharmacy orders, refills, and delivery tracking. Maintain complete and accurate patient documentation, consents, and records. Oversee supply and inventory management; place and track orders with vendors. Triage patient questions and post-treatment concerns; escalate as appropriate. Support provider compliance, record-keeping, and quality assurance requirements. Help organize clinic systems, templates, and processes for efficiency. Manage patient follow-ups, communication, and scheduling when needed.

Qualifications



Prior experience as a Medical Assistant, Clinical Assistant, or Wellness Coordinator (preferred). Phlebotomy certification or willingness to become certified. Strong documentation, multitasking, and organizational skills. Excellent communication and interpersonal abilities. Experience in a medical spa, wellness clinic, or outpatient practice (preferred).

Compensation & Schedule



Hourly:

$25-32/hr (based on experience and certifications).

Schedule:

3-4 days per week initially; potential to expand to full-time.

Training:

Ongoing mentorship and exposure to medical aesthetics and wellness operations.

Environment:

Professional, supportive, and patient-centered boutique practice.
Job Type: Part-time

Pay: $25.00 - $32.00 per hour

Expected hours: 15 - 30 per week
