Role Summary



The Clinic Manager oversees the day-to-day administrative, operational, and leadership functions of the clinics to ensure smooth operations, accurate inventory management, team efficiency, and an outstanding client experience. This role requires a high level of organization, operational awareness and leadership.The Clinic Manager serves as the operational bridge between clinic teams and leadership, ensuring Iowa IV's standards of excellence, compliance, and service are consistently upheld across all functions.

Essential Functions



Operational Management & Leadership



Lead and manage daily clinic operations to ensure seamless administrative and patient workflows. Train and guide administrative staff in implementing new processes and best practices. Serve as the on site operational leader, maintaining accountability and promoting a professional, friendly, and collaborative environment. Delegate specific office responsibilities to appropriate team members to maximize efficiency. Conduct weekly check ins with each clinic's Admin or Senior Admin to ensure weekend readiness (supplies, cash drawers, staffing, and cleanliness). Ensure clinic standards are maintained for cleanliness, presentation, and patient comfort.

Process Implementation & Oversight



Implement and monitor new office processes and workflows as directed by leadership. Ensure team members are trained on all educational materials and updated processes and consistently following established protocols. Create and collaboration on SOP documentation of new processes for consistency and training purposes. Coordinate with the Director of People Operations and COO on updates to clinic policies and compliance.

Inventory & Supply Management



Perform biweekly inventory checks for vitamins, medications, and general office supplies. Conduct temperature monitoring daily for medication, vitamin storage, and warmers to maintain optimal conditions. Manage the ordering of office supplies (Amazon) and medical supplies (approved vendors). Analyze supply usage versus ordering frequency and adjust par levels accordingly. Verify and print inventory reports, reconciling discrepancies between report and physical counts. Monitor waste, specials, discounts and usage trends to maintain cost efficiency. Coordinate supply transfers between clinics as needed. Maintain and update the price comparison document to ensure optimal purchasing decisions.

Financial & Administrative Oversight



Manage clinic deposits and review sales, tips, and discounts regularly. Coordinate with the Regional Manager for accurate cash drawer reconciliation, petty cash, and reporting. Maintain and distribute in office educational materials, including the morning huddle document and signage for specials.

Software & Systems Management



Regularly update clinic software, Zenoti, for accurate tracking of services, supplies, and inventory. Maintain and update registration and waiver forms in the system as needed. Collaborate with leadership and marketing to coordinate system updates for promotions, pricing, and events.

Compliance & Safety



Maintain and track team and client event reports across all clinics and report findings to COO and CSO. Ensure adherence to OSHA standards and maintain employee exposure records in coordination with the COO and CSO. Conduct periodic compliance checks and staff reminders to maintain safety standards. Ensure all medication and vitamin expiration dates are tracked and managed proactively to prevent waste. Manage key access control, including adding/removing staff from security systems and updating keyholder documentation.

Communication & Coordination



Collaborate with leadership, marketing, and clinic teams on upcoming events, promotions, and specials. Coordinate with marketing on clinic specific sales or promotional events. Sort and distribute mail and packages to CEO, ensuring timely processing and delivery. Maintain open communication with the COO and leadership on clinic performance, supply needs, and operational improvements.

Supportive Role



Support leadership initiatives such as community events, charitable programs, seasonal campaigns, and patient engagement efforts. Contribute to projects that improve workflow and client experience.
Assist with staff development by providing feedback, coaching, and training opportunities.

Skills & Competencies



Proven ability to lead and motivate teams. Strong analytical, problem-solving, and decision-making skills. Excellent written and verbal communication abilities. Attention to detail and commitment to accuracy. High degree of professionalism and accountability. Ability to adapt in a dynamic, growth oriented company environment.

Qualifications



Required



Bachelor's degree in Business Administration, Management, or a related field (or equivalent work experience). CPR certification (required). 1-2 years of experience in office management, administrative coordination, or healthcare operations. Strong leadership, organizational, and communication skills. Proficiency in office and clinic management systems (Zenoti, GHL, and Connecteam). Ability to multitask and manage multiple projects simultaneously.

Preferred



Previous experience in a healthcare or wellness environment. Knowledge of compliance and OSHA standards. Experience managing a multi location team.
