About the Role



The

Client Service Representative

is the first point of contact for our clients and plays a key role in ensuring a positive experience for both pets and their owners. This role requires a client-first approach, strong communication skills, and the ability to thrive in a fast-paced, specialty veterinary setting.

Key Responsibilities



Client Interaction



Greet clients and patients upon arrival, creating a welcoming and professional first impression. Facilitate seamless check-in and check-out processes, ensuring all paperwork is complete and accurate. Schedule appointments and manage the appointment calendar to optimize efficiency. Provide information on services, procedures, and post-care instructions to clients. Proactively address client concerns and escalate urgent cases to the appropriate team members.

Administrative Support



Maintain accurate client records and update information as needed. Liaise with referring veterinary hospitals to obtain and update patient records, ensuring continuity of care. Process payments, explain itemized receipts, and handle billing inquiries with professionalism. Ensure all animals are properly admitted and discharged, collecting deposits as required. Maintain a clean and organized front desk, lobby, and exam rooms to ensure a welcoming environment.

Team Collaboration



Support the medical team by communicating effectively with doctors and technicians to ensure a smooth workflow. Collaborate with fellow CSRs to resolve client issues and optimize patient care. Participate in team meetings and training sessions to stay updated on hospital policies and procedures.

What We're Looking For



Experience:

Prefer 2+ years in a customer service role, ideally in a veterinary, medical, or dental setting.

Communication Skills:

Strong verbal and written communication skills with the ability to engage with clients professionally and empathetically.

Emotional Intelligence:

Able to navigate sensitive conversations with compassion, discretion, and professionalism.

Tech-Savvy Mindset:

Familiarity with veterinary software such as EzyVet or similar platforms is a plus but not required.

Organizational Skills:

Ability to multitask and prioritize in a fast-paced hospital environment.

Education:

High school diploma or equivalent required; additional training in veterinary or medical administration is a plus.

Collaborative Spirit:

A team player who works well with veterinarians, technicians, and fellow CSRs to deliver exceptional client and patient care.

Self-Starter:

Ability to work independently while escalating issues to management when necessary.

Schedule & Availability



Full-time and part-time positions available, Monday through Friday, 7:00 AM to 6:00 PM. No nights. No weekends.
