The Client Services Administrative Assistant works under the direct supervision of the Client Services Manager
to assist with the day to day operation of the Client Services Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Serves as the Customer Service Representative for a portion of the workday, addressing client inquiries, resolving issues, and ensuring a positive customer experience.
2. Provide clerical support to the Client Services Manager, and Director of Client Services, including handling correspondence and other administrative tasks.
3. Assist with client eligibility processes for the client services department.
4. Maintains work flow of Client Services by implementing cost reductions and standard operating procedures. This duty is performed daily.
5. Provides instruction and technical support to field and central office staff related to utilization of
computer software applications. This duty is performed daily.
6. Compiles, maintains, and updates the Client Services database and records. Generates various reports as needed. This duty is performed daily.
7. Provides information to and from the Client Services field office staff by answering questions and requests. This duty is performed daily.
8. Resolves administrative problems by analyzing data from Client Services Field operations and identifying
possible solutions. This duty is performed weekly.
9. Evaluates equipment use in field offices and calls for necessary repair and maintenance. This
duty is performed irregularly.
10. Schedules and assigns administrative projects to Client Service field staff. This duty is performed monthly.
11. Tracks data and reports statistics for required surveys. This duty is performed monthly.
12. Orders, maintains, and delivers supplies and equipment to field offices in accordance with approved budgets, and travels to field offices as needed to ensure adequate inventory and distribution. This duty is performed as needed.
13. Perform any other related duties as required or assigned.

EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area; e.g. data
processing, clerical/administrative, equipment operation, etc, plus 12 to 18 months related experience
and/or training. Or equivalent combination of education and experience.

Ability to read and understand documents such as policy manuals, safety rules, operating and

money and other forms of measurement.
