Job Description

Morris James LLP, a leading Delaware law firm, seeks an experienced Intellectual Property Practice Coordinator in our Intellectual Property group located at 3205 Avenue North Blvd., Suite 100 in Wilmington, DE. The ideal candidate should have experience as a legal administration/coordinator & must possess excellent computer, interpersonal, organization, and communication (oral and written) skills.

The ideal candidate will be a highly organized, detail-oriented, self-starter who has excellent working knowledge of Microsoft Office products (Word, Outlook and Excel) and demonstrates proficient word processing skills. Candidates for consideration will be expected to perform all responsibilities with a commitment to providing superior service to the firm's clients, attorneys, and staff, and maintaining an atmosphere of teamwork.

This position is full-time, non-exempt, Monday through Friday, 8:30am - 5:00pm (with one hour lunch break each day.) There will be a flexible hybrid schedule after an initial in-person training period. Salary is commensurate with experience.

PRIMARY DUTIES & RESPONSIBILITIES



Coordinate client-facing marketing activities (newsletters, events, etc.) and liaise with the marketing department to develop and further client relations and strategies Assist with the creation and distribution of event invitations, marketing collateral, and post-event communications. Coordinate daily operations of the Intellectual Property practice group, ensuring all deadlines are met Oversee and manage the intake process for incoming clients and matters, as well as the closing process for completed matters Serve as a primary administrative contact for client inquiries, coordinating prompt responses and follow-up on behalf of attorneys. Prepare, review, and edit prebills and invoices in accordance with client guidelines and billing arrangements. Liaise with the firm's billing department and attorneys to resolve billing discrepancies or adjustments prior to final invoicing. Properly maintain and organize matter files in document management system (iManage) Communicate with co-counsel, clients, opposing legal counsel, and Court Chambers as necessary Assist attorneys with compiling and organizing updated chapters for new editions of legal texts Review, revise, and send monthly invoices to clients, and assist Accounting Department with identifying incoming payments as needed Submit check requests as required by attorneys and paralegals Coordinate shipments of client gifts Register attorneys for conferences and assist with hotel/travel arrangements Manage team credit card transactions Manage attorney's' annual memberships Mail courtesy copies of legal texts and books to clients Sort, scan, and distribute incoming mail to appropriate attorney or paralegal Provide daily updates to clients of newly filed complaints

QUALIFICATIONS:



Experience in an administration/coordinator role Must possess strong word processing skills with advanced proficiency in Microsoft products (Word, Outlook, and Excel) Familiarity with iManage or similar document management system Detail-oriented self-starter who can accurately manage multiple tasks and meet deadlines Ability to exercise initiative & good judgement to work independently as appropriate & as a member of a team Possess excellent interpersonal skills & ability to interact with a diverse group of attorneys & staff in person or by email/telephone Must be detail-oriented & possess excellent communication (written & oral) skills Excellent at organizing/prioritizing numerous projects/tasks simultaneously to meet tight deadlines Flexibility to work overtime when needed Ability to use discretion and maintain confidential information Familiarity with Aderant is a plus
