Civil Rights Review Specialist II - CS

. The Commission on Offender Review performs a vital role in Florida's criminal justice system by preserving the autonomy needed in post-release decisions affecting inmates and ex-offenders. The commission functions as a quasi-judicial, decision-making body. Commissioners preside over weekly meetings at the central office in Tallahassee and various other state locations as required by statute. During these public proceedings, the commissioners make a variety of determinations regarding parole and other releases.

POSITION OVERVIEW

The Civil Rights Review Specialist performs varied and extremely confidential work providing clerical and other essential support relating to Executive Clemency. This position assists the coordinator in carrying out the mission of the Office of Executive Clemency as set forth, crafted, and designed by the Board of Executive Clemency. The incumbent is heavy relied upon and trusted by the coordinator to handle highly confidential and sensitive information.


The incumbent will be receiving, routing incoming, and outgoing mail, answering the telephone, preparing electronic files, responding in writing to applicant inquiries, updating information in the applicant's file and/or clemency database. Receiving, processing, copying, scanning, and distributing various material relating to clemency applications; and performing additional clerical functions as needed.

POSITION DESCRIPTION

Operates a multi telephone line system, answers the telephone lines, responds appropriately to inquiries, and enters data into database. Prepares files for scanning and then scans the files. Timely and accurately update progress within an Excel tracking document. Organize scanned documents behind the appropriate sections/dividers. Receive, process, copy, scan, and distribute clemency applications. Receive and process new Request for Review applications to include preparing correspondence to be sent appropriate staff or applicant, placing correspondence received in each applicant's file, and assist with preparing and copying documents. Update information in the applicant's file and/or clemency database. Assist with maintaining files, records, materials, correspondence, documents, reports, and other material pertaining to clemency applications. Assist with processing, maintaining, arranging for storage, and retrieval of archived documents, records, and reports. Perform other duties required.

MINIMUM REQUIREMENTS

High School Diploma required.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of proper grammar and general office procedures. Knowledge of Microsoft Word, Outlook, and Excel. Knowledge of criminal justice/court related documents. Possess active listening skills with problem solving/critical thinking capabilities. Ability to prepare and maintain confidential and accurate information. Ability to work as part of a team, as well as independently. Ability to adapt, be flexible, and multi-task between assignments. Ability to work efficiently in stressful environment, while exhibiting exceptional coping skills and emotional maturity. Ability to communicate effectively, both verbally and in writing. Ability to interact well with both internal and external individuals. Ability to follow verbal and written instructions. Ability to review, edit data, and correspondence with accuracy and completeness. Ability to sort data alphabetically, numerically, and categorically. Ability to receive and appropriately act upon critique/training in a positive manner. Ability to track and account for personal work projects/assignments upon request from Coordinator.
