JOB TITLE: Case Management Coordinator




SUMMARY: The Case Management Coordinator supports the medical-legal and administrative operations at Progressive Spine & Orthopaedics by overseeing all aspects of patient case management, documentation coordination, and communication between providers, patients, attorneys, and insurance representatives. This position ensures that each case is managed efficiently from intake through resolution, maintaining compliance with healthcare and confidentiality standards while supporting high-quality patient care and professional communication.

DUTIES AND RESPONSIBILITIES:

Case Coordination and Documentation



Manage and organize all aspects of patient case files, ensuring accuracy and completeness of medical records, imaging, reports, and supporting documentation. Track the progress of each case, monitoring deadlines and ensuring timely completion of required tasks and documentation. Coordinate the preparation and submission of narrative reports, imaging requests, and other documentation required for ongoing cases. Maintain thorough records of communications, updates, and followup actions related to each case.

Communication and Liaison Responsibilities



Serve as the central point of contact between physicians, patients, attorneys, and insurance representatives to facilitate smooth case management and information flow. Coordinate requests for depositions, Independent Medical Examinations (IMEs), trials, and narrative reports as needed. Communicate case updates, appointment details, and documentation requests clearly and professionally. Ensure all interactions reflect the organization's commitment to accuracy, confidentiality, and patientcentered service.

Administrative and Departmental Support



Assist management with administrative and operational tasks that support departmental goals. Monitor open cases to ensure all required information, reports, and responses are completed promptly. Collaborate with clinical and administrative teams to ensure proper case progression and documentation accuracy. Maintain confidentiality and compliance with HIPAA and all applicable healthcare

regulations.

QUALIFICATIONS:



Associate's or Bachelor's degree in Paralegal Studies, Legal Studies, or related field preferred. 2+ years of experience in case management, medical coordination, or healthcare administration for personal injury/MVA cases (orthopaedic or medicallegal setting preferred). Proficiency with Microsoft Office Suite, EMR/EHR systems, and case tracking software. Strong understanding of medical terminology, documentation standards, and healthcare communication protocols. Excellent organizational, communication, and problemsolving skills.

Compensation: In accordance with the New Jersey Pay Transparency Act, this position falls within Pay Grade 5 of the 2025 OPM Salary Table for the NY/NJ/CT/PA region.



Compensation will be determined based on experience and education.
