Essential Functions and Responsibilities

Administrative Support

Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails Maintain camp calendars, schedules, and registration systems up to date Schedule and organize meetings, appointments, and travel arrangements Coordinate with HR / payroll to handle personnel information as needed

Office Operations

Order and manage office supplies and inventory Coordinate maintenance requests and vendor services as needed Ensures equipment and facilities are functioning properly at all times

Record Keeping & Data Management

Organizing and maintaining files (digital and physical) Updating databases and tracking Camp activities Discretion in handling confidential information

Camper & Staff Coordination

Serves as direct supervisor for seasonal staff including camp leaders, program staff, cabin staff and kitchen staff ensuring proper procedures and safe practices are followed during camp season. Support camp registration through outreach, parent contact, paperwork, program administration and

volunteer coordination.

Support onboarding and scheduling of seasonal staff. Track attendance, rosters and housing assignments. Supports end of season camp wrap up.

Communication & Relationship Building

Serve as a point of contact for parents, vendors, staff and volunteers. Acting as a liaison between departments or teams Maintain positive relationships with vendors and local organizations Represent Camp Thunderbird at in person enrollment events.

Compliance and Safety

Ensure all documentation complies with Quest and ACA policies and regulations Support health and safety protocols, including emergency contact lists and incident reports Coordinating emergency procedures and drills

Education and/or Work Experience

Minimum 21 years of age High School Diploma or GED required, associate or bachelor's Degree in business administration or relative field is a plus 2-3 years of experience in an administrative, clerical or office support role Experience with office management software like MS Office (MS Excel and MS Word, specifically) Possession of valid driver's and reliable transportation Flexibility of work schedule 1-3 years in a supervisory or management capacity preferred
