The School Bookkeeper is responsible for financial accounting and specialized clerical work, including the presentation of the financial position of the school through clerical maintenance.

Advanced knowledge of accounting procedures and budget analysis
Advanced ability to create computer spreadsheets and reports
Thorough knowledge of bookkeeping terminology, methods, procedures, and equipment
Thorough knowledge of standard office procedures, practices, and equipment
General knowledge of accounting principles and related data processing equipment
Ability to understand and follow oral and written directions
Ability to establish and follow detailed work procedures
Ability to post accounts and perform mathematical computations with speed and accuracy
Advanced skill in using a variety of office machines and computer equipment, along with some typing ability
Ability to establish and maintain effective working relationships with associates
EDUCATION, TRAINING, AND EXPERIENCE
High School Diploma with additional credit hours and/or training in bookkeeping skills
Two (2) years of experience in performing secretarial and/or bookkeeping work
Experience working with computer spreadsheets
Any equivalent combination of training and experience that provides the required knowledge, skills, and abilities.
PREFERRED QUALIFICATIONS:
Bilingual candidates are preferred
Associate's Degree or Vocational Training from an accredited institution in Accounting, Bookkeeping, Finance, or other related area
Three (3) to five (5) years of experience serving as a bookkeeper and/or secretary in a public school setting
Must possess a valid driver's license issued by the NC Department of Motor Vehicles
ESSENTIAL DUTIES AND RESPONSIBILITIES
Carry out the job of school treasurer with integrity and the highest ethical standards;
Maintain a complete and systematic set of records of all financial transactions of the school.
Record details of school financial transactions in appropriate journals and subsidiary ledgers from such sources as requisitions and records.
Summarize and balance entries recorded in individual journals and ledgers, and transfer data as appropriate.
Trace errors and record adjustments to correct charges or credits posted to incorrect accounts.
Keep a complete record of all amounts of money, following the form and detail prescribed by the Chief Finance Officer
Reconcile canceled checks with bank statements and verify the bank balance with statements.
Prepare all payroll records for monthly and semi-monthly payrolls, including the appropriate notice for FMLA or other leave options;
Maintain financial records and complete monthly reports for Finance.
Complete all bank deposits of school monies.
Responsible for the school's accounts receivable and accounts payable.
Ensure adherence with all OCS policies and administrative directives governing fiscal matters
Attend all professional development/training as prescribed by the Principal and/or OCS Chief Finance Officer to convey and/or gather info required for performing job duties.
Respond to inquiries and provide direction to staff and administration regarding financial policies and procedures. e.g., implementation of news software such as Timekeeper, process changes for submitting staff development and employee reimbursements);
Maintain functional familiarity with accounting and HR applications necessary to complete the job requirements, e.g., timekeeper, LINQ, School Funds online, AESOP.
Perform other duties as may be assigned by the Principal.
Maintain records of all field trips
Prepare Fiscal Notes for the Chief Finance Officer and maintain contract logs
Maintain current W-9 information and report this list yearly to the school system's Finance Office.
Check each student's withdrawal for lost or damaged books or any outstanding obligations, and sign each withdrawal.
Maintain the Unclaimed Property report for the school system's Finance Office.
Maintain long-distance and fax logs and track calls on the monthly report.
Perform other work as assigned by the Principal or the Chief Finance Officer

WORK ENVIRONMENT
Employees in this position are required to work in indoor and outdoor environments and come into direct contact with OCS staff, students, and the public.
