Position Summary

Using a higher level of experience and knowledge, the Billing/Scheduling Associate III is responsible for providing support in situations of a moderate to more complex nature. This role primarily functions as a surgery scheduler, scheduler, as well as assists with the administrative needs of the physicians in the Division. Assist in all aspects of the scheduling team; may coordinate office functions and perform specialized/technical duties with minimal supervision; serves as a liaison between patients, staff, and healthcare professionals and advocates the patients\xe2\x80\x99 needs. These activities take place over the phone, EMR or by email, with no patient contact.


Primary Duties & Responsibilities
  • Schedules patient surgeries, including pretesting and medical clearance. Instructs patients on surgical process, including reminder calls for scheduled procedures. Coordinates the placement of cases in line with block and physician (including co-surgeon) availability.
  • Schedules patient appointments, answers patients inquires, routes patient calls and maintains patient files. Manages EPIC work queues.
  • Communicates with physicians and clinical staff to assist with scheduling urgent and routine, referred patient requests as necessary.
  • Obtains insurance information. Assists patients with insurance questions regarding the billing process. Connects patients to financial counselors when financial assistants is needed.
  • Works patient reminder system results and contacts patients or makes scheduling changes.
  • Assists with FMLA paperwork processing.
  • Triage patient, physician and business inquiries to appropriate faculty and staff.
  • Assists physicians maintaining their outlook calendars. Coordinates travel, processes reimbursements, etc.
  • Attends meetings and performs general office related activities along with the team as required.
Preferred Qualifications
  • EPIC EMR and Scheduling background.
  • Demonstrated interpersonal skills and working knowledge of insurance and financial options.
  • Effective customer service skills.
  • Prioritization and organizational skills.
  • Demonstrated ability with Microsoft office including Excel and Word.
  • Working knowledge of general office equipment and computers.
  • Must have organization and communication skills that require discretion with confidential information.
  • Must have experience working independently, prioritize multiple tasks and have knowledge of medical terminology.
  • Ability to handle busy phones and capable of working in a fast-paced environment.
  • emonstrated knowledge of Epic scheduling system, including template.
  • Must possess strong interpersonal skills; handle stressful situations and have excellent decision-making skills.

Required Qualifications

  • High school diploma or equivalent high school certification with five years of experience in a medical office environment or related field.
  • Knowledge of medical terminology; extensive telephone experience with demonstrated exceptional phone etiquette; experienced in a managed care setting.
  • Experience using the Epic System; familiar with WUSM services and programs.
  • Extensive knowledge of data entry/computer experience with an automated scheduling system

Salary Range

$20.15 - $31.26 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one\'s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
