We are seeking a dynamic and detail-oriented Billing & Administrative Support Specialist to join our team. This vital role combines billing expertise with comprehensive administrative support, ensuring smooth office operations and exceptional customer service. As a key member of our organization, you will manage billing processes and provide essential clerical assistance to foster an efficient and welcoming environment. This position is ideal for someone who can work independently, stay organized without constant oversight, and thrives on keeping things moving behind the scenes.
Key Responsibilities
Prepare, review, and send client invoices accurately and on time.
Apply and reconcile payments in the billing system.
Assist with collections and follow-up on outstanding balances.
Maintain organized records of billing, payments, and client communications.
Create and improve processes to streamline billing, documentation, and administrative workflows.
Collaborate with the Office Manager and accounting team to ensure consistency and accuracy in billing processes.
Answer incoming calls and provide friendly, professional support when the team is busy.
Assist with administrative tasks and special projects as needed.
Take initiative to identify and complete work during slower periods -- keeping yourself and the department productive.
