Job Summary
The Behavioral Health Office Manager is a vital professional responsible for overseeing the administrative operations of our behavioral health facility. This role ensures seamless office functionality, supports clinical staff in delivering exceptional client care, and upholds financial stewardship and procurement responsibilities to maintain operational efficiency.
Key Responsibilities and Duties
Administrative Management
: Oversee daily administrative operations, including organizing and maintaining patient records, scheduling appointments, coordinating transportation, managing incoming and outgoing correspondence, and handling billing/insurance inquiries, ensuring they are directed to the appropriate parties.
Staff Supervision
: Supervise and coordinate activities of administrative staff, such as receptionists and medical assistants. Ensure staff are well-trained, adhere to office policies and procedures, and deliver outstanding customer service to clients.
Financial Management and Stewardship
: Collaborate with the finance department to manage budgeting for office items, monitor expenses, process invoices, and coordinate with insurance companies and the billing department. Promote financial stewardship by ensuring responsible use of resources, optimizing cost-efficiency, and addressing client billing or payment inquiries.
Procurement
: Manage the procurement of office supplies, equipment, and services. Evaluate vendor options, negotiate contracts, and ensure timely acquisition of resources to support office operations while maintaining cost-effectiveness and quality standards.
Compliance and Regulations
: Ensure the office operates in compliance with relevant laws, regulations, and industry standards, including HIPAA and other privacy and confidentiality requirements. Stay updated on healthcare regulations and act as the organization's internal safety and compliance advocate to support a secure and safe environment for all.
Communication and Coordination
: Serve as the central point of contact for internal and external communication, liaising with clinical staff, clients, admissions, insurance companies, referring providers, and vendors. Coordinate meetings, trainings, and office events to foster collaboration and efficiency.
Resource Management
: Oversee the inventory of office supplies, equipment, and the general environment of care. Ensure resources are available for smooth operations, coordinating maintenance and repairs as needed.
Quality Improvement
: Collaborate with the clinical team on quality improvement initiatives, including tracking and analyzing data, identifying areas for enhancement, implementing changes to improve operational efficiency, and maintaining a high standard of client care.
