Position Summary:

We are seeking an organized, proactive, and customer-focused Base Office Manager to oversee daily office operations and support our team on Kauai. This role is crucial in ensuring seamless administrative functions, delivering excellent guest service, and fostering strong staff coordination.

Key Responsibilities:



Administrative Management:



Oversee daily office operations to ensure efficiency and smooth workflow. Maintain recap reports, booking reports, new hire files, credit card signatures, and other documentation. Handle customer and vendor complaints via phone and email. Prepare Kauai base timesheets. Schedule drug program appointments for new hires in pilot and maintenance. Monthly hobbs reports

Customer Service & Reservations:



Cross-check all bookings to ensure accuracy of payments and vouchers. Verify future bookings and handle Viator refunds. Train new employees in customer service procedures. Provide recurrent customer service training to staff.

Staff Coordination:



Create and manage the greeter schedule, addressing staff call-outs. Coordinate employee evaluations and performance tracking.

Compliance & Safety Support:



Distribute staff updates and office bulletins. Coordinate flight following and Safety Management System (SMS) training.

Inventory & Supplies:



Manage office supplies and inventory. Coordinate merchandise sales and reporting.

Communication Support:



Serve as the main point of contact for Kauai-based staff. Coordinate visits from island-based agents. Manage guest feedback and maintain positive relationships. Capture photos of guests for use on social media and in promotional materials.

Qualifications:



Previous office management or administrative experience, preferably in hospitality, aviation, or tourism. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Customer-service oriented with problem-solving skills. Ability to work independently and as part of a team.
Basic knowledge of safety and compliance procedures preferred.

Pay: From $28.00 per hour

Expected hours: 40 per week
