GENERAL DESCRIPTION:

The Wyoming Department of Corrections contributes to public safety by exercising reasonable, safe, secure, and humane management while actively providing offenders opportunities to become law-abiding citizens.

The Wyoming Medium Correctional Institution (WMCI) is specifically designed to serve as the main intake and assessment center for male inmates. It serves as a primary education and treatment center for inmates identified as requiring high levels of protective custody and medical, mental health, dental, substance abuse, life skills, cognitive/behavioral, and/or sex offender treatment services.

This position is in the Inmate Records Department of the Wyoming Medium Correctional Institution. The Records Clerk maintains inmate records, calculates "good time" for release dates on inmates, explains sentence structure to an inmate, and supports the Records Department.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
  • Calculates parole and release dates for inmates as structured by the Court judgment.
  • Analyzes operating practices and procedures, preparing, certifying, and structuring information.
  • Fulfills internal and external data requests.
  • Assists in the coordination of agency data collection activities.
  • Performs various tasks associated with the management, implementation, evaluation, and retention of a large and complex records system.
  • Gives technical assistance, advice, and information to agency personnel, the public, and state and federal agencies regarding governmental and confidential records and data.
  • Uses judgment and relies upon considerable knowledge of the subject material.
  • Searches for and retrieves information from files and responds to informational requests.
  • Consults the manual of policy and procedure to ensure that actions to be taken comply with laws or rules.
  • Gives and receives information requiring some judgment or discretion regarding the work unit\'s current and specific business, by telephone or by direct personal contact.
  • Provides access in the timeliest manner at the least cost and ensures final disposition for those records that have met their legally approved life cycle.
  • Informs and educates constituents of records and information management needs.


Qualifications


PREFERENCES:

Preference may be given to those with two (2) years of records and document management experience and strong skills in mathematics principles.

KNOWLEDGE:

  • Knowledge of theories, principles, and practices of archival science.
  • Knowledge of governmental records systems.
  • Knowledge of Records and Information Management (RIM) and archival science practices, principles, and practices.


MINIMUM QUALIFICATIONS:

Education:
Bachelor\'s Degree (typically in Records or Data Management)
Experience:
0-1 year of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk
OR
Education & Experience Substitution:
3-4 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records & Data Management Clerk

PHYSICAL WORKING CONDITIONS:

  • Must be able to lift 25 pounds
  • Ability to stand to perform filing for up to eight (8) hours
  • Lifting/grasping up to 20 pounds without assistance on an occasional to regular basis
  • Walking on cement floors on an occasional to regular basis
  • Stooping, bending, kneeling, crouching on an occasional basis
  • Reaching on a regular basis
  • Typing/Repetitive motion on a frequent basis
  • Talking/hearing on a frequent basis
  • Seeing: the visual ability to perform an activity such as analyzing data and figures, viewing a computer terminal, and extensive reading.
