Position Summary

Position provides administrative assistance and office support to the Chair/Department Head, which requires considerable judgement, tact, creativity and initiative. Responds to questions and inquiries and makes decisions, when appropriate, in the absence of Chair/Department Head according to organizational policies and procedures. May have functional responsibility for providing direction to other administrative staff.

Primary Duties & Responsibilities
  • Anticipates and using good judgement and prepares materials needed by the Department Head for conferences, meetings, daily appointments, and telephone calls.
  • Interprets and adapts guidelines, including policies, precedents, and practices not always completely applicable to changing situations.
  • Keeps track of correspondence with deadlines.
  • Prepares special reports, summaries or replies to inquiries.
  • Assists executive with administrative details, usually of a confidential nature.
  • Composes a variety of materials including letters, memos, confidential reports and correspondence with responsibility for format, arrangement of attachments, correct spelling and grammar.
  • Coordinates and schedules department committee meetings, ad hoc committee meetings.
  • Electronically submits all information into the on-line submission site for the ad hoc committee and Executive Faculty process.
  • Notes commitments made by Department Head during meetings and arrange for implementation or follow-up.
  • Schedules appointments, gives appropriate information to callers and responds to callers inquires.
  • Maintains and completes travel expense reports and pro-card receipts.
  • Greets guests, ascertains nature of business and handles situations as appropriate.
Preferred Qualifications
  • Bachelor\xe2\x80\x99s degree.
  • Some previous experience in a medical setting.
  • Ability to use discretion and independent judgement, work under pressure and adhere to short deadlines maintaining positive and professional manner.
  • Organizational, verbal and written skills.
  • Ability to handle multiple situations with tact and a service-oriented attitude.
  • Ability to supervise/direct secretarial personnel.
  • Knowledge and experience of Microsoft Office.

Required Qualifications

Equivalent of an associate degree with seven years of administrative/secretarial responsibilities.

Salary Range

$63,900.00 - $109,100.00 / Annually The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one\'s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
