JOB SUMMARY



We're seeking a motivated and detail-oriented

Assistant Commercial Property Manager

to join our team and support the day-to-day operations of a premier commercial property. This role is an excellent opportunity for someone with

The Assistant Property Manager (APM) plays a crucial role in

supporting the Property Manager

, by providing comprehensive clerical and administrative assistance, with a strong emphasis on accounts receivable and accounts payable functions through Yardi Voyager. This position is essential for maintaining financial accuracy and tenant relations within the property.

This position requires strong organizational skills, attention to detail, and a proactive approach to problem-solving, particularly in the areas of accounts receivable and accounts payable.

ESSENTIAL JOB DUTIES:



1. Handle responses to tenant requests and/or complaints; establish and maintain favorable landlord/tenant relations. Customer service-focused with a solutions-driven mindset.

2. Review rent roll, commercial billing and lease files in Yardi for accuracy monthly.

3. Gather all vendor information; forward for account setup in Yardi. Review invoices, code and process into the accounting system.

4. Apply daily cash receipts to tenant accounts and follow up and expedite collection of all accounts receivable, working with the Property Manager on any problems.

5. Assist in the preparation of tenant statements incorporating bill-back charges for electrical, HVAC and keys, etc. Provide commercial billing report for Property Managers review.

6. Assist in the solicitation of bids for vendors and awarding of contracts for work performed in the building, maintain a working knowledge of all vendor contracts and ensure compliance.

7. Maintain current tenant directories, tenant suite signs and approve graphics for building and tenants.

8. Conduct regular tours of the building, grounds, parking garage, and tenant spaces. Perform ongoing inspections to assess the efficiency and effectiveness of building staff and service vendors.

9. Coordinate janitorial services and address any complaints with the cleaning contractor's night supervisor. Oversee an ongoing maintenance and cleaning program by assigning tasks and communicating issues to the appropriate personnel. Conduct weekly inspections of tenant spaces on a rotating basis.

10. Coordinate security duties and/or complaints with the appropriate supervisor. Review and approve instruction manuals for security staff which detail general instructions and the operation of the life safety and emergency systems.

11. Prepare charge schedules, lease commencement letters, and lease abstracts for commercial tenants.

12. Perform miscellaneous administrative duties for Property Manager and other staff, such as type and copy correspondence, send, route and file as directed, prepare packages for shipping, maintain office supplies etc.

13. Assist in the preparation of annual operating budget/business plan and the monthly reporting financial package for BPG and partners.

14. Maintain a working knowledge of lease agreements and administration of related documents.

15. Maintain and update the Emergency and Evacuation procedures for the tenants.

16. Coordinate special tenant events.

17. Perform various property management duties as directed by the Property Manager, assist in the coordination of property management activities and ensure adherence to all procedures.

18. Maintain stacking plan, rent roll and expirations schedules.

19. Perform other essential duties as assigned.

Must be proficient in the following:



Windows Compatible PC; Software: Windows 10 & 11, Microsoft Office Suite - Word, Excel, Outlook, Teams, Yardi Voyager is a must, Adobe Acrobat

Skills and Abilities



Analytical, organizational and administrative skills, which include a high level of ability in written and verbal communication and planning. Ability to establish schedules, meet deadlines, and maintain follow-up procedures.

Compensation & Benefits
