We are seeking a highly organized and experienced Assistant Practice Manager to support the daily operations of our healthcare facility. The ideal candidate will possess strong leadership skills, extensive medical office management experience, and proficiency with electronic health record (EHR) systems. This role is vital in ensuring efficient clinic operations, maintaining compliance with healthcare regulations, and delivering exceptional patient care. A background in medical administrative support, fiscal management, and supervisory responsibilities is essential to succeed in this position.
Duties
Assist in overseeing the daily operations of the medical practice, including staff scheduling and workflow management
Support fiscal management activities such as budgeting, financial reporting, and resource allocation
Supervise administrative staff, including training, performance evaluations, and human resources functions
Manage medical records and ensure compliance with HIPAA regulations and other privacy standards
Utilize EMR/EHR systems such as Epic, eClinicalWorks, and others to maintain accurate patient information
Coordinate with clinical staff to optimize clinic efficiency and patient flow
Assist with billing processes, managed care coordination, and utilization management
Ensure adherence to JCAHO standards and other accreditation requirements
Support practice growth through process improvements and staff development initiatives
Maintain knowledge of medical terminology, hospital protocols, acute care procedures, and healthcare management best practices
Qualifications
Proven experience in medical office management or healthcare administration, preferably within dental or clinical settings
Strong supervisory experience with the ability to lead multidisciplinary teams effectively
Proficiency with EMR/EHR systems such as Epic, eClinicalWorks or similar platforms
Knowledge of HIPAA regulations and medical records management
Background in fiscal management including budgeting and financial oversight
Excellent organizational skills with attention to detail in a fast-paced environment
Familiarity with medical terminology, nursing practices, acute care procedures, and managed care processes
Experience in office management within healthcare facilities such as clinics or hospitals is highly desirable
Ability to handle human resources responsibilities including staff training and performance reviews
Strong communication skills coupled with problem-solving abilities to support practice operations effectively
