Position Summary




The Assistant Practice Manager serves as a polished, patient-facing and operational leader supporting the Practice Manager across two locations, primarily based in

Boca Raton

. This role ensures seamless daily flow, elevated patient experiences, strong team support, and disciplined cost control. The ideal candidate is proactive, composed, and committed to upholding New Radiance's standard of excellence.

Core Responsibilities

Patient Experience & PCC Support

Deliver a five-star, concierge-level patient experience at every touchpoint. Assist with PCC responsibilities including check-in/out, intake, financial discussions, rewards programs, and pre/post-care communication. Support patient engagement tasks such as outreach, follow-ups, confirmations, and waitlist management. Step into PCC shifts as needed to maintain seamless flow and elevated service.

Operational Leadership

Uphold New Radiance standards across both locations through strong daily oversight. Provide real-time support and direction to front desk and PCC teams, ensuring consistency and efficiency. Anticipate operational needs, address issues calmly, and maintain a polished, solutions-focused environment.

Staff Support & Team Development

Assist with onboarding, training, coaching, and reinforcing day-to-day expectations. Model professionalism, accountability, and emotional intelligence in all interactions. Help maintain a positive, cohesive, and performance-focused culture.

Scheduling & Resource Coordination

Support provider and staff scheduling to ensure balanced coverage and optimal patient flow. Troubleshoot same-day scheduling challenges and help maximize appointment utilization.

Inventory Management, Ordering, & Cost Control

Own daily and month-end inventory responsibilities with accuracy and attention to detail. Oversee ordering for supplies and retail products, ensuring stock is maintained without over-purchasing. Monitor usage patterns and assist with implementing cost-control measures for all operating expenses. Maintain organized supply areas and support accountability for reducing waste and variances.

Compliance & Facility Standards

Ensure both locations consistently meet brand standards for cleanliness, safety, and readiness. Support compliance with clinical, regulatory, and sanitation guidelines.

Engagement, Reviews & Marketing Support

Assist with local marketing initiatives, content capture, and promotion execution. Help drive Google reviews and strengthen patient engagement through warm, consistent follow-up.

Administrative & Documentation Support

Maintain accurate, HIPAA-compliant patient charts and operational records. Support daily reporting, communication updates, and cross-location coordination.

Leadership Partnership

Act as a trusted extension of the Practice Manager, carrying out priorities with professionalism and composure. Uphold brand standards, escalate concerns appropriately, and contribute to continuous improvement. * Perform additional duties that support patient satisfaction, operational efficiency, and location performance.
