The Role

Position is responsible for all administrative processes required by the respective Regional Vice President and Senior Vice President (i.e. -correspondence, preparing monthly T&E report, coordinating travel arrangements, filing, ordering supplies, and scheduling meetings, etc.). Position is also responsible for assisting between 5 and 7 Development Directors/Development Managers with all development and prospecting activities.

What you\'ll do

  • Create, process and review prospect applications and supporting documentation. Distribute and track deal terms and related approvals for license agreements, revisions and amendments (assist with proofreading, editing and distribution), and executions and openings of properties through Salesforce.com (\xe2\x80\x9cSFDC\xe2\x80\x9d). SFDC key responsibilities include: lead/opportunity/quote/and capital request creation. Monitoring opportunity key dates and stages. Uploading documents, creating views and distributing reports as needed. Track applications received and distribute for weekly RVP team call which includes researching market generators, mapping properties and compiling all required information for brand review.
  • Market Analysis and Internal Data Research - Smith Travel Research (STR) Trend Reports and STAR Reports. Researching site status, deal points (contracted stipulations), exporting executed copies from Carta, termination & expiration notices, and mapping site availability.
  • DocuSign - uploading and tagging franchise agreements and amendments for electronic signature.
  • Responsible for On & Off Boarding process for respective teams and ongoing system/process training. Includes hardware and supply orders (business cards, hardware, etc.), system access and coordinating 3-day new hire training agenda in Parsippany with various department heads.
  • Coordinate A/P responsibilities which include: T&E processing, monthly P-Card reconciliation and processing & tracking of invoices and check requests.
  • Responsible for generating Supplemental Earnings Claims for respective teams and submitting to WHR corporate for final review and legal approval.
  • Responsible for coordinating quarterly team meetings which can include creating RVP & SVP reports, travel arrangements, meeting space, food & beverages and any additional information requested.
  • Responsible for the company Document Management Program and Record Retention (maintenance and disposal of deal files & T&E reports).
  • Assist with a variety of special projects, both internal and external, as needed (ie. regional conventions, cross-functional department requests, etc.).

Required Qualifications/Experience
  • High school diploma required / bachelor\'s degree preferred.
  • Minimum 2 years of administrative experience required.
  • Proficiency with Microsoft Office Suite.
