Job Description

SUMMARY: Reporting to the System Director of Ambulatory Optimization, 115084052the Ambulatory Optimization Specialist (AOS) will conduct operational assessments of a wide range of Brown University Health department / division ambulatory patient care sites. Working with broad guidelines, the AOS will work closely with ambulatory staff (operations and clinical), faculty, department / section senior leadership, and Brown University Health senior leadership to assess operational workflows and perform detailed data analysis. The AOS will independently be responsible for the development of clinical optimization assessments by way of detailed written and analytical data analysis to yield: enhanced processes, revenue cycle improvements, and improved patient, physician, and provider satisfaction. The AOS will consistently communicate with key stakeholders via written or face-to-face communication to ensure they are fully informed of the assessment's progression and aid in the implementation of assessment recommendations by facilitating post assessment workgroups. The AOS will typically work with each Brown University Health department/division for 3-4 months, sometimes concurrently with other departments/divisions, to complete the assessment and work with leadership to implement assessment recommendations. The core Success Factors include: Instill Trust and Value Differences Patient and Community Focus and Collaborate RESPONSIBILITIES: Serves as a strategic business partner to physicians/providers and clinical operations leadership and staff to assist in restructuring clinical and business workflows for enhanced optimization in clinic practices. Identifies gaps and solutions to both small and large-scale initiatives. Implements operational processes and ensures effective operational practices. Coordinates analysis of documentation and workflows in departments/sections and makes recommendations to design/redesign system components to support appropriate workflows. Analyzes existing methods and develops alternatives to improve operations. Performs assessments for complex workflows within clinical areas. Identifies potential process and/or department-specific risks and assists in strategies to mitigate or resolve. Develops and follows assessment work plans. Leads assessment meetings and collaborates cooperatively with team members to coordinate assigned duties with the overall program. Delivers and communicates assessments and plan initiatives to key stakeholders. Authors and develops detailed and highly complex slides/written assessments outlining the department or clinic's performance, including findings, conclusions and recommendations. Conducts proofreading, editing, document formatting for those assessments, ensuring quality standards are upheld. Collect and analyze operational, physician/provider productivity, patient satisfaction, and staffing ratio data. Perform assessment-specific, ad-hoc data analysis when applicable. Ensure adherence to Brown University Health practice standards. Delivers assigned documents on or before deadline, alerting assessment stakeholders in a timely manner of any anticipated delays, information gaps or potential shortcomings in quality. Utilize team-building skills to facilitate timely completion of projects. Track project deliverables using appropriate tools. Monitor and report on the progress of the project, including problems and solutions. Intervene where necessary to keep the assessment on task while maintaining unity among all stakeholders and team members through a positive, collaborative and diplomatic approach. Serves as a key liaison to system IT teams to develop new reports and analysis that will benefit the team to support assessment work. Develops new analysis and serves as a strategic partner with the system director and to drive and streamline assessment work. Oversees continual monitoring of operational key performance indicators for ambulatory sites. Proven ability to provide leadership and direction to manage several assessments concurrently while balancing competing priorities and deadlines. Possesses extreme flexibility in work focus: proven ability to switch among several different assessments without any adverse effects. Ability to synthesize analyses of clinic data from various sources into clearly written text with little or no supervision. Comfortable and confident enough to conduct assessments that are outside one's current area of expertise. Willing to learn new things and ask questions to obtain required information. Must be flexible to adjust work schedule to allow for team priorities to be met. MINIMUM QUALIFICATIONS: Minimum Qualifications: Bachelor's degree in business administration, healthcare administration or related field Minimum of three to five years of relevant work experience or equivalent amount of education and experience. Highly effective communication, management, and leadership skills; the ability to conceptualize, plan, facilitate and execute consistently and effectively. Working advanced knowledge of Epic, MS Excel, MS Visio, MS PowerPoint; MS Word, work experience in the healthcare, public health, consulting, and change management fields. Pay Range:



$84,701.34-$139,761.44
